Job Summary:
We are looking for a highly organized, detail-oriented, and proactive Branch Office Administrator (BOA) to be a key player in our team. This role is critical in our operational efficiency, and ensuring regulatory compliance, and enhancing client service.
Key Responsibilities:
- Oversee daily office operations, including scheduling, correspondence, and record-keeping.
- Ensure compliance with SEC, FINRA, and state regulatory requirements.
- Support advisors in administrative and operational tasks to streamline efficiency.
- Assist with new account setup, transfers, and ongoing account maintenance using custodial platforms (Schwab, Fidelity, TD Ameritrade, Pershing, etc.).
- Maintain accurate client records and interactions within CRM systems (Redtail, Salesforce,).
- Provide excellent client service, acting as a trusted point of contact for inquiries and support.
- Ensure all client documentation, disclosures, and regulatory records are maintained per RIA industry standards.
- Assist with audits, compliance reporting, and document verification.
- Assist with client communications, newsletters, and event planning to support business development.
- Help drive brand awareness and engagement as we expand our client base.
- Process billing, account funding requests, and distributions in coordination with custodians.
- Generate financial reports and track invoices for timely processing.
Qualifications & Skills:
- Experience in financial services, wealth management, or investment advisory firms preferred.
- Knowledge of RIA operations, financial regulations, and compliance requirements.
- Proficiency in custodial platforms (Schwab, Fidelity, TD Ameritrade, Pershing) and CRM software.
- Strong organizational, communication, and problem-solving skills.
- Ability to handle confidential information with discretion and professionalism.
- FINRA Series 7/66 is required.
