Job Description
The job holder is responsible for assisting the Benefits Manager in the administration, implementation, and communication of the U.S., Canadian, and Bahamian employee health & welfare and retirement programs.
Responsibilities
- Administer the company’s U.S., Canadian and Bahamian benefit plans and programs in accordance with plan documents, insurance contracts, vendor agreements, Collective Bargaining Agreements, and applicable federal, state, provincial, and local regulations.
- Assist with the Annual Enrollment process, including coordination with TPA, vendors, and development of written communications (letters, e-mails, presentations).
- Interpret benefit and retirement plans and policies to facilitate administration, respond to questions, and interface with vendors and employees independently to solve complex problems.
- Administer the company’s disability plans, review disability status reports, and partner with Payroll and HRIS to ensure timely payments and status updates.
- Maintain effective relationships with vendors.
- Assist in ensuring leave policies are updated and compliant with all federal, state, and local regulations. Update policies as needed.
- Conduct monthly audits and oversee benefit plan billing.
- Complete monthly allocation reports in support of finance initiatives.
- Assist with mandatory federal, state, and provincial reports and filings, as well as required communications (e.g., DOL and other reporting requirements for Health & Welfare and DC non-discrimination testing, data transmissions, claims analysis, and special requests).
- Create ways to improve operations and streamline work processes.
- Collaborate with HR Managers, Payroll, and HRIS in the administration of benefits data.
- Counsel management and staff regarding FMLA, federal law, policies, and procedures.
- Provide data analysis and support for union negotiations.
- Bachelor’s degree.
- 3 years of experience administering health/welfare, disability, and retirement benefits.
- Knowledge of US federal and state benefits regulations and legislation (e.g., IRC, DOL, FMLA, ADAA, COBRA, HIPAA).
- Knowledge of technical aspects of US benefits administration (e.g., discrimination testing and government reporting obligations).
- Knowledge of Canadian federal and provincial benefits regulations and legislation is strongly preferred.
- Knowledge of technical aspects of Canadian benefits administration (e.g., federal government and provincial reporting obligations) is strongly preferred.
- Excellent written and oral communication skills.
- Highly adaptable to changing business conditions.
