The Role You’ll Contribute

The Space Planning & Conference Services Manager is responsible for allocation of the Region's space and oversees all conference services, with or without consultants, interfacing staff. These responsibilities involve the organization of employees in the Region, consultant designers, contractors, and often other individuals with expert skills in their field. Actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all. The position works directly with leadership to develop space planning and construction/reconfiguration management strategies for the realization of the goals and objectives set forth by the Region's position control. Character traits include strong communication skills, problem solver, commitment to deliver results, multi-tasker, strategic planner, excellent collaborator, and team player with a positive "can do" attitude.

• Plans utilization of space consistent with Region standards and available facilities and funding.
• Develops drawings and other deliverable to support space planning scenarios and decisions.
• Acts as primary contact for new requests, to gathers requirements and proposes potential solutions.
• Ensures the protection of Region’s design standards.
• Establishes milestone and monitors adherence to project budgets, and schedules.
• Identifies problems and develops solutions such as allocation of resources or changing project scope.
• Responsible for managing the department’s space management system, ensuring space validation, and updating occupancy metrics.
• Manage space allocation process, maintain data accuracy, and perform periodic data and drawing audits.
• Manages region space forecasts and updates long plans accordingly.
• Applies knowledge to forecast space requirements based on verified existing space information, forecasted space supply/demand & growth projection.
• Provides metrics around current and future space needs.
• Produce graphic charts and diagrams for visual display of quantitative and qualitative information, illustrating organizational, operational, and functional relationships that pose physical and spatial impacts.
• Communicate recommendations through reporting and graphic presentations.
• Leads space meetings, gather requirements, and obtain requisite approvals.
• Generate conceptual solutions that respond to the requester’s requirements, considering physical planning constraints with other departments as required.
• Prepare the required space forecast data for position control committee decisions.
• Manages space allocation data for finance department.
• Manages Space & Conference Services Team Members.
• Performs other duties as assigned or directed to ensure smooth and efficient operations of the Space & Conference Services in the Region.
  
  

Qualifications Required

The expertise and experiences you’ll need to succeed:

• Bachelor's in project management Required OR
• 5 years’ experience in project management.
  
  

Qualifications Preferred

• Bachelor's in business, property management, construction or related field Preferred
• Extensive Experience in all managing diverse teams to deliver complex solutions Preferred
• Extensive experience in construction process, including all project deliverables Preferred
• Experience in events management, conference services or hospitality. Preferred
• Excellent project management skills to manage multiple projects.
• Knowledge of facility design and construction techniques
• Ability to read and interpret construction drawings and contracts
• Excellent verbal, written, and organizational skills
• Self-Motivated required minimal management
• Strong interpersonal skills with ability to work with and manage multi-faceted teams
• Proficient in Microsoft Word, Excel, Outlook
• Comfortable in making presentations to leadership and customers.
• Proficient in Microsoft Project or similar project management program
• Proficient in Space Management software programs
• Certified Project Management Professional (PMP)-PMI Preferred
• Certified Facilities Manager (CFM) Preferred
