Summary
The Private Event & Premium Services Coordinator provides essential administrative and customer service support to the Private Events and Premium Experiences sales departments, assisting with event coordination, client communication, and record management.
Essential Duties And Responsibilities
- Provide administrative support for Private Events and Premium Experiences sales efforts.
- Assist in maintaining and updating client databases and records.
- Coordinate and make initial responses to incoming inquiries, and route qualified leads to the sales team.
- Organize and distribute Premium tickets and parking passes for non-team events.
- Support pre-event administrative tasks, including correspondence and scheduling of Premium Concierge team.
- Plan, organize and execute small Private Events.
- Assist in preparing event proposals and presentations for prospective clients.
- Maintain office organization, filing, and document management.
- Provide exceptional customer service support for clients and guests.
- Attend departmental meetings to learn about each department and take meeting notes as needed.
- Perform other administrative duties as assigned.
Education and Experience:
- Associate degree or equivalent experience preferred.
- One year of administrative experience, preferably in sales, events, or hospitality.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Ability to manage multiple tasks and timelines while working efficiently in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Experience with CRM or event management software is a plus.
- Ability to move around the facility and assist with event-related tasks.
- May require standing for extended periods during events.
- Must be available nights and weekends as events are assigned.
