POSITION SUMMARY
Under the direction of the Senior Supply Chain Manager, the Inventory and Order Fulfillment Specialist performs various tasks and operations required to receive, ship, and control LENSAR’s Customer Service inventory necessary to support our fielded units’ needs in an FDA-regulated environment. This position maintains inventory minimum and maximum levels to avoid stock-outs, oversees work orders for customer service manufactured items, ensures timely and efficient management of all customer service inventory, and collaborates with field service technicians to identify trends and develop aftermarket kits for future orders. All operations will comply with GMPs, Standard Operating Procedures (SOPs), and other LENSAR standards.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Utilize Excel and strong analytical skills to analyze historical data, manage inventory levels, and set and maintain minimum and maximum levels to ensure customer service stock availability and prevent stock-outs. Support Service objectives by minimizing downtime through effective inventory management
  • Manage, update, and maintain LENSAR’s parts catalog, including spares for OCONUS customs, ensuring accurate and up-to-date information.
  • Work closely with technical service representatives and the manufacturing engineering department to identify and determine serviceable items.
  • Assist with shipping duties to support the team, ensuring the timely and accurate delivery of parts to meet customer service objectives. Coordinate shipments, including distributor and 3PL support, to fulfill domestic and international requirements as needed.
  • Plan and manage inventory levels using Kanban systems and help set appropriate Kanban levels based on demand trends, historical usage, and service goals. Conduct
    regular inventory audits and cycle counts to maintain accuracy.
  • Generate reports and analyze trends to identify opportunities for process improvement, optimize inventory levels, and enhance customer service operations. Provide actionable insights to management based on data analysis.
  • Serve as the first point of contact for after-hours support, ensuring availability to address urgent inventory and shipping needs that may arise outside regular working hours.
  • Collaborate with distributors and logistics teams to plan and coordinate shipments, ensuring compliance with customs requirements and minimizing delays.
  • Support planning and execution for critical service objectives, ensuring the smooth flow of parts and materials to meet both internal and external customer needs effectively.

Required:
  • High School Diploma or equivalent Proficiency in the English language - reading, writing, and communication.
  • Experience using ERP systems.
  • Excellent organizational skills to manage multiple priorities with a commitment to meeting aggressive deadlines and expectations while ensuring overall quality of delivery. Must be flexible while possessing strong decision-making capabilities.
  • Computer literacy, including the ability to interface with computer systems. Must be comfortable working with Microsoft suite (Word, Excel, PowerPoint), navigating through web pages and e-mail. Must possess basic typing skills.
  • Excellent communication skills (both oral and written), including interpersonal communication skills, while being team-oriented and having the ability to negotiate toward positive outcomes.
  • Must be able to work overtime as needed.

Preferred:
  • Minimum of two years’ experience in a material, inventory, stockroom/warehouse environment, or a customer service support role.

These physical demands are representative of the physical requirements necessary for an employee to successfully perform the essential functions of the Inventory and Order Fulfillment Specialist job. While performing the duties of this job, the employee is regularly required to communicate both verbally and in writing. The employee must be able to lift 45 pounds, as well as bend and reach. The employee is frequently required to remain stationary but must frequently stand and walk to move and move goods about the facility.

Air-conditioned manufacturing environment, inventory and shipping areas, also clean room type environments and dark rooms.
