Position Summary : We are seeking a dynamic and detail-oriented Trade Show and Events Specialist to join our Marketing team. The successful candidate will be responsible for planning, coordinating, and executing trade shows, and assisting as needed with user conferences, and field events. This role requires excellent organizational skills, budget management capabilities, and the ability to travel as needed.

Key Responsibilities Include :
- Assist in the planning and executing of annual sales meetings, customer events, site visits / tours, and major trade shows.
- Work with cross-functional teams to manage event logistics, including venue selection, vendor relationships, speaker preparation, AV requirements, catering, and transportation as needed.
- Plan and execute company participation in trade shows, including selection, internal staffing, and hotel coordination. Manage on-site management as needed.
- Work with the broader marketing team to coordinate marketing messages and Lenze brand to ensure consistent omnichannel communication and appearance / logo usage.
- Manage event registration processes, secure hotel blocks, determine applicable show sponsorship opportunities, and ensure attendee communications keep stakeholders informed.
- Manage vendor relationships and negotiate contracts for trade show services and materials.
- Develop and manage budgets for trade shows and events. Provide detailed post-event financial reports and analysis. Consolidate event costs and seek cost-improvement strategies as part of constant process improvement.
- Ensure all marketing materials and promotional items are inventoried, prepared / packed in crates, and shipped to events.
- Coordinate booth staffing with senior management, including booth schedules, booth captain delegation, and coordination with co-marketing partners.
- Be available to travel to events as required, including evenings and weekends.
- Ensure all event materials are accurate, brand-compliant, and delivered on time.
- Conduct thorough post-event meetings with booth staff to evaluate and gather feedback and identify areas for constant improvement.
- Maintain an organized inventory of demo crates, event supplies and promotional materials.
