Property/ Office Manager Job Description:

MANAGE STAFF: Check in with Canton Manager and Maintenance Supervisor regularly, obtain reports from each of them on weekly basis and send to owner. Assist in hiring new staff as needed. Do payroll every Friday with Payroll4Free program. Distribute checks. Enter all checks into Quickbooks.

Touch base with Maintenance Supervisor daily to prioritize tasks and maintenance needs.

Touch base with owner on daily basis on all problems, information that needs brought to her attention via email and text or phone calls as necessary.

RENTING APARTMENTS: Become familiar with properties. Work with leasing agent to: keep updated pictures of vacant units; Show properties as needed; Process Tenant Applications and approve them; Lease available units; Manage move – ins on AppFolio software.

COLLECTION OF RENTS: Enter all rent collections into Appfolio and do bank deposits. Copy all deposits and keep on file. Enter deposit information into Quickbooks . Each month, do three day notices to tenants who have not paid. Obtain staff assistance with putting on tenant doors. Each month, make decision on evictions and file with attorney. BOOKKEEPING/PAPERWORK

BASIC BILL-PAY AND ACCOUNTING: Pay bills and enter all online and paid bills into Quickbooks. Alert owner of all bills that are out of the ordinary. File all paid bills in cabinet or have assistant do filing. Forward paid billing information to owner as needed.

PROCESS ALL MOVE OUTS: work with leasing agent to process tenant move-outs, performing move-out inspections, and processing paperwork and required follow up for security deposits in a timely manner. Handle further proccessing of owed sums by turning pror tenants into collections through AppFolio as needed.

MANAGE AGENCY NEEDS: this may include a variety of agencies such as the HUD office. Maintain communication and follow up on any needed paperwork to caseworkers, etc. as needed.

MAINTAIN TIMELY INSPECTIONS OF RENTED UNITS: Work with staff to ensure rented units are inspected at least bi-annually and more often if needed.

DAY TO DAY OFFICE ACTIVITIES: Answer phone calls as needed, Answer emergency calls after hours. Check e-mail daily and reply or distribute e-mails to staff. Appfolio Guest Cards and other rental inquireis need checked on and replied to daily. Take care of tenant complaints that come to your attention from receptionist or maintenance supervisor. Review Social Media Daily. Keep track of tenant reviews online and work to create more positive ones.Enter work orders as detailed as possible when brought to your attention. Review online work orders regularly to make sure being done in timely fashion. Learn Appfolio – Do online tutorials once per day to get more skills Assist staff with calling tenants on getting into properties, problems etc. Keep track of inventory of all appliances and equipment. Monitor all correspondence with tenants, vendors, etc

Pay: $18.00 - $20.00 per hour
