OVERVIEW
The Advancement Relationship Specialist works in collaboration with the entire Communications & Advancement department to help execute the planning and coordination of fundraising events and cultivate donor relationships to support Greenway programming and events. The Advancement Relationship Specialist will manage the logistics related to Greenway fundraising events, related affinity groups, and select Greenway public programming.
KEY FUNCTIONS
- Plan and implement the Greenway's major fundraising events, The Green Gala, The Taste of Fort Mill, and The Colonel's Club Boil, Brew, & 'Que, providing logistical and on-site support for vendors, volunteers, corporate partners, and staff, including but not limited to :
Coordinate with internal staff, affinity group volunteers, and vendors to establish the requirements for an event, and serve as main point of contact throughout the planning process
Locate resources and lead pre-event meetings to help stakeholders make decisions about event design and executionPlan and facilitate logistics for all events, including contract negotiations, guest lists, venue preparation, presentation materials, food & beverage needs, entertainment, transportation, equipment, decor, licensing, volunteers, and other needs that may be required, while meeting strict deadlinesManage all aspects of the budget, including projection and reconciliation, making sure events stay within or below budgetIn coordination with the Marketing department, plan and execute all promotional materials related to the events meeting strict deadlinesOversee client experiences from conception through post-event review; manage on-site preparations, production, and event breakdown; and ensure consistent, high-level service throughout all phasesNurture and build relationships with vendors, venues, and other industry contacts while crafting and implementing the creative and logistical aspects of all eventsBuild and maintain comprehensive databases of event plans / procedures, contacts, and vendorsProactively identifying and solving operational challengesAnticipating and troubleshooting any issues that arise on event dayPlan and manage all activities of affinity groups (Greenway Ladies Guild, The Colonel's Club, and Friends of the Greenway), including but not limited to :Developing relationships and successful communication with executive leadership of each affinity group
Serving as liaison for all affinity group membersAnticipating and managing all affinity group yearly activities, including meetings, recruitment, and other eventsPlanning and attending all affinity group meetings, some of which may be in the evening or weekendManaging membership, tracking and duesIn conjunction with the Senior Advancement Manager and Communications & Advancement Director, create and implement strategic initiatives to help manage a portfolio of individual supporters, targeting annual donations at the $550 level and above (Friends of the Greenway). Increase retention and recruitment by managing and tracking all Friends of the Greenway data in Blackbaud Altru (CRM database).Coordinate all VIP, signature, and donor events hosted by the Communications & Advancement department including, but not limited to :Ribbon cuttings for new amenities (future, TBD)
Friends of the Greenway stewardship eventsPlanned giving seminars and information sessions, or other related special events (Legacy Giving Society)Plan and execute any new Fundraising eventsMaintain a customer service demeanor at all times. Responds to donors with the appropriate level of urgency. Ask questions to identify donor's needs or expectations in a pleasant and respectful manner. In completing tasks, continually consider the impact of those actions on the donor and remaining flexible to accommodate donor's needs.Collaborate closely with Senior Advancement Manager and Communications and Advancement Director to achieve annual fundraising goals.Follow Leroy Springs & Company, Inc. Gift Acceptance Guidelines, Policies and Procedures. Provide input on updates as needed.Comply with legal, insurance, health, and safety regulations at all times.Represent the Greenway at public events and functions and in applicable community and professional networksPerforms other duties as required.THE LSC WAY

Bachelor's degree with 3-5 years of experience in special events or comparable sales or business development experience and / or equivalent prior experience in working with special events planning; or an equivalent combination of training and experience which provides the required knowledge, skills and abilitiesAbility to work flexible hours, including weekends and evenings when appropriateStrong experience with Microsoft SuitePHYSICAL REQUIREMENTS
Must be physically able to operate a variety of automated office machines and equipment including computers, calculators, general office equipment, telephone, camera, etc. Able to exert up to twenty-five pounds of force occasionally and / or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Must be able to walk long distances over various terrains during events and activities.
