What we need:
We are seeking a detail-oriented and proactive Supply Chain Specialist to join our team. In this role, you will be instrumental in ensuring the smooth operation of our supply ordering and customer support systems. Key Responsibilities:
- Order Management: Efficiently enter and manage supply orders from various sources, ensuring timely and accurate processing.
- Toner Orders: Place and track toner orders through multiple channels, including calls, emails, and Teams. Serve as a backup for automated order alerts.
- Enterprise Supply Orders: Place and monitor all supply orders for several large accounts, ensuring accuracy and timely delivery to VIP customers.
- Invoice Tracking & Reconciliation: Oversee the processing, delivery, and reconciliation of invoices.
- Daily Deliveries: Create and manage end-of-day order picking sheets to ensure smooth deliveries for the following day.
- Customer & Internal Support: Address questions related to supply orders from both customers and internal teams.
- Managed Print Program Support: Provide support for customers with contracts for managed print services
Additional Responsibilities:
- Front Desk Coverage: Manage the front reception desk when colleagues are out of the office, providing a welcoming and professional environment.
- Supply Lookup Requests: Support sales and service staff with supply-related inquiries and requests.
- Special Projects: Collaborate on special projects as assigned by managers.
- Administrative Backup: Provide backup support to other administrative staff when needed.
Qualifications:
- Experience in supply ordering or providing administrative support preferred.
- Strong organizational skills and attention to detail.
- Excellent communication abilities, both written and verbal.
- Friendly and warm demeanor with customers, whether on the phone or in person.
- Proficiency with office software and systems (e.g., SalesPad, Microsoft Teams, Excel).
- Ability to multitask and manage time effectively in a dynamic work environment.
- A proactive approach to problem-solving and customer service.
