Scope of Position

The purpose of this position is to provide administrative assistance and support to the campus operations division of the college. This position provides communications, tracking, reporting and clerical support for both the Director of Campus Operations as well as the Business Manager.


Key Measurable Expectations (KMEs)


  • Inputs data and creates letters, reports, memos, requisitions and other forms utilizing campus technology systems.
  • Maintains campus operations records, monthly reports and filing systems.
  • Maintains access to the maintenance work order system, tracks submissions, works with the appropriate maintenance supervisor to assign work orders to maintenance team members, follows up with requestor and maintenance team member to ensure completion of all work orders. Communicates to the supervisors and/or Director any concerns related to work orders.
  • Creates and maintains spreadsheets for departmental tracking including gas logs, training requirements/compliance, DMV checks for all campus drivers, incident reports on campus, and other tracking requests from the Director and Business Manager.
  • Cross trains in the Postal Department to provide back-up and assistance when needed.
  • Develops monthly postage accounts and submits to Finance.
  • Receives, sorts and distributes mail throughout the Maintenance Department.
  • Maintains all needed office supplies and forms relevant to Campus Operations.
  • Assists the maintenance team, Director and Business Manager with all purchase requisition requests. Works closely with the Business Manager to ensure available budgets for all purchase requisitions.
  • Tracks all campus events in conjunction with the Director and Logistics Supervisor for set ups and maintenance requests.
  • Assists in the inventory management process and performs annual audits at the direction of the Business Manager.
  • Arranges for needed repairs and licensing for two-way radios used by campus operations.
  • Maintains all vehicle records as it applies to purchases, disposals, licensing, fleet management, maintenance and insurance. Ensures each team member assigned a campus vehicle has a current auto insurance card.
  • Processes annual motor vehicle checks for current employees requiring verification in conjunction with HR.
  • Serves as the point person for all campus departments requesting document disposal. Follows the document disposal process and record keeping to attain approval from the Illinois SOS office for disposal of records.
  • Participates in the hazardous waste management process by arranging timely and proper waste pickups with vendors and LC departments that handle the waste.
  • Assists the Director in audits of areas that handle hazardous waste in conjunction with other team members as part of the Hazardous Waste Management Plan.
  • Utilizes technology and suggests improvements in campus operations efficiency to the Director and Business Manager when appropriate.
  • Other duties as assigned by the Director or Business Manager of Campus Operations.


Minimum Training and Experience Required to Perform Essential Job Functions


  • High School Degree and a minimum of three years of demonstrated office support experience

OR

  • Associate’s degree in office technology, business or a related field.
  • Demonstrated experience in the ability to learn computer software applications, including Microsoft Word, Excel, and Outlook.
  • Ability to be flexible and manage priorities in a multi-task environment with frequent changes in job task focus.
  • Strong interpersonal and communication skills required.
  • Must be a detail-oriented, reliable, self-motivated, energetic, and customer service-oriented team member.
  • Eagerness to learn a variety of complex functions, and work with all levels of personnel.
  • Ability to lift 25 lbs.


Team Members can expect to be paid a salary between $33,880 to $44,044 which includes an excellent benefits package. The salary is competitive and commensurate with qualifications and experience, while also considering internal equity.
