Position Title: Justice Court Clerk

Organization: Lewis and Clark County, Justice Court

Pay Rate: $19.78 per hour

Position Type/Status: Permanent, Full-time, Non-Exempt, LiUNA

Lewis & Clark County Justice Court is hiring a Justice Court Clerk. Under the general supervision of the Justice Court Supervisor, this position performs a variety of specialized clerical, technical, and support duties to assist the Justice Court System.

Candidates must be able to pass a pre-employment background check.

Who We Are

Justice Court is the judicial branch of County government responsible for the processing of all misdemeanor offenses, both traffic, criminal and animal control violations that occur within Lewis and Clark County. It is the court wherein nearly all felony cases that occur within Lewis and Clark County are initially filed. Justice Court processes citations issued by;

  • Montana Highway Patrol;
  • Lewis and Clark County Sheriff's Office;
  • Montana Fish , Wildlife and Parks Department;
  • Motor Carrier Services of the Department of Transportation;
  • Lewis and Clark County Animal Control Officer;
  • State Department of Livestock;
  • State Gambling Control Division;
  • and in some cases the Helena Police Department.

Duties

  • Interacts with the public and provides customer service including answering phones, greeting citizens, and responding to questions in person and via email;
  • Performs a variety of clerical duties including, typing, proofreading, filing, data entry, reviewing information and data for completeness and accuracy;
  • Responds to public information requests and provides information;
  • Assists with processing misdemeanor and felony offenses, citations, out of state warrants;
  • Provides the appropriate forms and advises the public on the Justice Court policies and processes;
  • Prepares and processes paperwork for the Justice Court system;
  • Composes letters, correspondences, and legal documents;
  • · Accesses databases to enter or update information;
  • Coordinates with the Lewis and Clark County’s Sheriff’s Office, County Attorney’s, Montana Department of Corrections, Office of Public Defenders, and other local and state agencies;
  • Distributes and processes mail;
  • Maintains records and dockets of the Justice Court;
  • Prepares and organizes the Justice Court calendar;
  • Pulls and reviews files for hearings and prepares necessary forms relevant to hearings;
  • Collects fees, provides receipting, and balances cash draw;
  • Creates and maintains jury documents, sends notice of jury duty, and processes online questionnaires and summons;
  • Performs other duties as assigned.

Examples of Knowledge

  • Knowledge of Montana Code Annotated including the Justice Court Rules of Civil Procedure;
  • Montana Justice Court Uniform Rules of Procedures;
  • County policies and procedures;
  • Court clerical practices and procedures; business English, spelling, grammar and math;
  • Confidentiality regulations and practices applicable to court proceedings.

Examples of Skills & Abilities

  • Ability to use common office machines;
  • Operate computer systems and related software, including word processing, proprietary court and spreadsheet programs;
  • Draft legal forms and documents according to prescribed standards;
  • Maintain court calendar according to prescribed standards;
  • Communicate effectively orally and in writing;
  • Follow verbal and written instructions;
  • Establish effective working relationships with fellow employees, supervisors, and citizens.

Qualifications

The above knowledge, skills, and abilities are acquired through a combination of education and experience equivalent to graduation from high school and one (1) year of clerical experience. Associates degree in Office Technology or equivalent and legal office and/or court experience preferred.

Physical Demands

Duties are generally performed in an office environment where hazards and discomforts are controlled and modifiable. This position requires the ability to stand, bend at the waist, kneel, reach over the head, talk, hear, and see. Must be able to move or lift documents and materials weighing up to 30 pounds. Position requires knowledge and use of typical office equipment including telephone, copiers, fax machines and personal computer. Position requires frequent contact with attorneys and continuous contact with citizens.
