LC State invites applications for the position of Executive Assistant to the President.
Salary and rank based on experience and qualifications: $63,000 - $68,000
Degree Required: Bachelor's degree in a related field from a regionally accredited college or university
Required Qualifications:
- Experience with Microsoft Office (Word, Excel, and PowerPoint)
- Excellent oral and written communication skills
Preferred Qualifications:
- Master's degree and/or planned program of study for a graduate degree.
- Minimum one year experience working with college administration, and/or working in Idaho's higher education system, including, but not limited to, working with the State Board and/or college boards, legislators, and higher education institutions
Responsibilities:
- Represent the President by initiating with others the directives of the President while demonstrating leadership in understanding and contributing to institutional goals.
- Support the work, and work as a collaborative member of the leadership team, evidencing dedication to total continuous quality improvement and a student-focused learning environment.
- Demonstrate sound judgement, common sense, and make sound decisions regarding issues that necessitate immediate contact and consultation with the President.
- Review and prioritize requests for meetings, events, and engagements for the President.
- Maintain heightened sensitivity, appropriate decorum, and confidentiality to the public relations aspect of the position and the complexities of the President's Office.
- Interpret, apply, and implement policies and procedures to accomplish the institution's mission.
- Manage the calendar of the President to coordinate, organize, and help prepare complex office meetings, social events, public appearances, and dinners focusing on event logistics, which may include catering, travel, registration, location/facilities, organization and set-up, and technology needs.
- Prepare official correspondence, reports, presentations, and documents for review and processing in a timely manner. Maintain records and files.
- Monitor and manage budgets and expenses.
- Answer direct phone calls, manage emails, and greet and receive guests, visitors, and colleagues who come into the office.
- Provide administrative and analytical support to direct reporting units under the Office of the President when necessary.
- Act as primary liaison to staff, colleagues, guests, and visitors for the Office of the President to keep the lines of communication clear with all stakeholders.
- Coordinate activities and events across the institution and with outside agencies.
- Manage fiscal planning and reporting for the President's Office.
- Effectively utilize and supervise personnel (both staff and work-study employees) and volunteers associated with special projects.
- Engage in active problem-solving and propose resolutions to concerns based on a thorough understanding of college policies, procedures, precedent, and mission.
- Other duties as needed and assigned.
- Additional duties include direct and indirect activities to support recruitment and retention of students.
