Job brief:
We are looking for a Legal Receptionist to manage our front desk on a daily basis and to perform a variety of administrative and clerical tasks in order to assist the daily function of our law firm.
What are we looking for in a Receptionist?
As a Receptionist, you will be the first point of contact and first impression for our firm and staff. Our Receptionist’s duties include offering administrative support across the organization in the form of:
Responsibilities:
- Screening calls on a multi-line phone system.
- This includes redirecting calls to the correct staff members based on caller's needs.
- Welcoming and assisting walk-in clients.
- This will include informing the correct staff member when their clients arrive for appointments, or if a client needs urgent attention.
- Creating mailing labels and envelopes for staff members.
- Preparing new intake folders.
- Handling client checks.
- Handling confidential documents and information.
- Ensuring that the reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures) refilled and in their respective holders.
- Provide basic and accurate information in-person and via phone/email
- Receive, sort and dispense deliveries to their proper locations
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Keep inventory of stock and notify the proper individuals when stock should be reordered.
- Perform other clerical receptionist duties such as filing, photocopying, transcribing and faxing
- Communicate with all clients as first point of contact.
And
- Maintaining the Outlook calendar as needed.
We are looking for an individual who has mastery level customer service skills and strives to ensure client service. The receptionist should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations to ensure all staff members can continue to perform their daily duties without unnecessary burdens. Multitasking and stress management skills are essential for this position.
Ultimately, a Receptionist’s primary duties and responsibilities isto ensure that the reception area greets guests positively, and executes all administrative tasks to the highest quality standards.
Additional job requirements:
- Sitting for prolonged periods
- Light lifting (35 lbs)
- Extensive typing and computer use
- Ability to screen, direct or redirect incoming calls, and on a need-to basis place outgoing calls.
