What are the responsibilities and job description for the Risk Management Coordinator position at Lewis Tree Service, Inc.?
This hybrid position is based out of our Rochester, NY corporate office. Responsible for managing all aspects of non-litigated property damage claims. Provides exceptional service to customers, internal departments, and other stakeholders.
ESSENTIAL DUTIES:
- Answers phone and triages incoming incident calls/reports and responds to questions from customers, Operations, and third parties.
- Collects and enters property damage incident and complaint/compliment related data, supporting documents, etc. into the RMIS system and reports claims promptly to the insurance carrier.
- Performs property damage claims investigations, as appropriate.
- Manages all aspects of non-litigated property damage claims—including negotiating settlements—within defined authority. Escalates litigated or complex claims to the Claims Manager.
- Provides ongoing claim management consistent with corporate policies, procedures arid "best practices" and in accordance with any statutory, regulatory and ethical requirements.
- Manages diaries and follow ups to ensure claims are resolved efficiently.
- Supports the Risk Management Specialists, as necessary.
- Exercises proper judgment and decision making to analyze the claim exposure to determine the proper course of action and to appropriately settle the claim. Issues denials, when appropriate.
- Uses discretion and considers information gleaned from investigation when considering whether to approve use of surveillance, subject matter experts and other third-party services. Evaluates proposed reserves from the TPA and provides authority for reserve thresholds per associated Special Service Instructions (SSI’s). Escalate requests to the Claims Manager for authorization outside of the scope of authority provided the Special Service Instructions.
- Works closely with division management, Safety, Human Resources, Risk team members, and other internal departments to coordinate proper handling of claims.
- Maintains records utilizing the RMIS system, SharePoint, and other company-provided means.
- Provides oral and written claim status reports and data analysis as requested, utilizing the TPA's and RMIS systems, company information and other sources.
- Track and process department expenses, invoices and other transactions
- Manages the issuance and tracking of Certificates of Insurance. Collaborate with insurance broker as needed.
- Responds to risk and insurance service requests from business units and third parties.
- Maintains up to date knowledge of current regulations, methods and trends in the Property Damage Claims field.
- Works with operations leadership and finance department to issue claim payments not handled by the TPA.
- Works with 3rd party vendors as needed.
- Supports Risk Management in department-related projects as requested
- Performs general office administrative activities including copying, filing and delivering to department members as needed.
- Performs other duties as assigned.
REQUIRED QUALIFICATIONS:
- Associates degree in a business field, or equivalent work experience
- A minimum of 2 years' experience in claims management
- A minimum of 2 years’ experience utilizing Microsoft Office, particularly Outlook, Excel, and Word
- Reliable transportation to get to work on time as directed
TECHNOLOGY, EQUIPMENT & TOOLS:
- Proficient with standard office equipment i.e. computer, phones, scanner, fax and copier.
- Proficient with Microsoft Office programs including advanced proficiency in Microsoft Excel.
- Proficient with data entry and database management, to include web-based versions
- Proficient with multiline phone systems.
- Proficient with virtual meeting platforms such as Teams, Zoom, and Cisco Webex
- Experience using SharePoint
- Records and Claims Management System(s) experience, to include web-based versions
- Internal and external mail handling experience.
- Home office equipment to be provided by the employee

COMPENSATION: $21.63 - $24.50
