POSITION OVERVIEW:

Become a vital part of the Lexicon and Line as a Project Coordinator for our large-scale youth/school-centered research projects, where your keen attention to detail and genuine desire to provide stakeholder support will help us to gather the data that communities, regions, and States need to positively impact youth across the United States. In this pivotal role, you will be the backbone of our project team, working under the Project Manager and the CEO, helping to manage our support team. You will take charge of coordinating stakeholder communications and local-level planning; build and manage project execution, monitoring, and control systems in Airtable; and help us to turn the project vision of our clients into reality. KEY RESPONSIBILITIES:
- Ensure adherence to the project plan and evaluate/improve procedures. Help our Project Managers execute their project vision and our clients’ expectations.
- Manage school district-level communications and local-level project execution, using Airtable to keep projects with up to 500 stakeholders moving forward smoothly and with a high level of communication. Serve as the main point of contact for project-related communications.
- Coordinate and maintain support team members’ schedules.
- Provide stakeholder training and ongoing support.
- Supervise workflows, keeping projects moving forward in alignment with established timelines.
- Assist with stakeholder management, record keeping, and outreach activities.
- Manage support email and text accounts with exceptional customer service and oversee support team members who assist in this work.
- Create, monitor, and manage project-related training materials, information materials, and promotion materials. Involves creating materials in Canva and InDesign, hiring and overseeing the work of design freelancers and team members, gathering printing/production bids, building shipping systems in Airtable, and managing stock.
- Systems development and implementation – continuously look for ways to improve communications and stakeholder touchpoints/systems, monitor and troubleshoot problems and errors, and push our youth/school-centered research projects to a higher level of success. Provide regular reports to project and client leadership on project success metrics
- Exercise a high level of attention to detail by building and implementing quality control systems, ensuring that any documents, spreadsheets, or materials produced for our data collection initiatives are error free and accessible to all. This includes not only editing/grammar review but also cross-referencing data point/metrics.
- Exercise a high level of adaptability, keeping projects organized and moving forward when client or project needs change.
- Stay updated on changes in the field of youth/school research and surveying to ensure that our practices and systems are in line with advancements in this niche field and that we are aiming for continuous improvement and innovation.
QUALIFICATIONS:
- Bachelor’s degree required in a field such as business, communications, or project management
- A strong background in performing administrative duties and executing large, high-stakes projects with many moving parts.
- Excellent organizational and multitasking skills with keen attention to detail.
- Advanced experience creating, managing, and monitoring spreadsheets and databases with thousands of records and hundreds of dependencies
- Outstanding written and verbal communication skills, with the ability to interact professionally with staff, stakeholders, school administrators, and agency executives.
- High level of discretion and confidentiality in handling sensitive information.
- Proficiency in Airtable/SmartSheets (or other similar project management tools), Microsoft Office Suite (Word, Excel, PowerPoint, Teams), Canva, and Adobe products
- Build and maintain positive relationships with stakeholders, district and school contacts, staff, and community leaders.
CAREER PATH:
- Successful Project Coordinators can transition to Project Management and Direction with time, experience, leadership development, and credentialing.
WORK SCHEDULE:
- This is a full-time salary position requiring approximately 40 hours per week. Some evenings and weekends will be needed to accommodate deadlines and major events.
- While Lexicon & Line prefers team members work a hybrid schedule (Monday/Friday telework; Tuesday to Thursday in-office), we are willing to allow full-time remote work (with monthly in-office check-ins) if the fit is right.
