LHH is seeking a Client Billing Specialist to join a dynamic law firm in Seattle, WA. This position is responsible for overseeing complex legal billing processes, including auditing, reviewing, editing, preparing, and submitting detailed invoices in compliance with both firm and client guidelines for each assigned office. We would welcome candidates who have billing experience from any professional services environment with a billable hour model including law, CPA, engineering, architecture, consulting firms and more!
The anticipated salary for this role is between $71,000-$89,000 a year with incredible law firm benefits.
Responsibilities include but are not limited to :
- Handle daily billing tasks to assist attorneys, practice assistants, and clients.
- Oversee intricate billing procedures that involve thorough research and adjustments.
- Edit and update attorneys’ monthly proformas (pre-bills), ensuring accuracy and compliance with client requirements.
- Generate and submit monthly invoices, ensuring correct matter setup in the accounting system, including rates, AFAs, billing notes, and instructions.
- Review and audit unbilled time and costs, ensuring accuracy and correcting discrepancies as needed.
- Review, audit, and approve vendor and client invoices while following internal protocols and client-specific guidelines.
- Ensure that all timekeepers and rates are up to date on e-billing platforms and submit them for approval as necessary.
- Submit electronic invoices through clients' designated billing systems, managing rejections, short payments, errors, and resolutions.
- Handle non-e-billed invoices by coordinating with practice assistants and attorneys to ensure timely mailing or emailing.
- Monitor e-billed invoice status, following up on rejected and short-paid invoices, and addressing client concerns.
- Provide ad-hoc billing reports for both internal and external clients, ensuring compliance with client-specific requirements.
- Train, guide, and provide quality control for Client Billing Specialists, assisting in the billing and e-billing process.
- Regularly assess and implement enhancements to billing processes to increase efficiency
- Update and manage client reports and databases, ensuring data aligns with each client's specific requirements.
