Job Description:
We are seeking a detail-oriented and organized Staff Accountant (AR/AP) to join our client’s dynamic team. The ideal candidate will be responsible for managing various accounting functions, including accounts receivable, accounts payable, invoicing, bank reconciliation, and more. This role involves working with internal and external stakeholders to ensure the accurate and timely processing of financial transactions.
Key Responsibilities:
Accounts Receivable:
- Receive and apply checks to individual accounts in QuickBooks and process remote bank deposits.
- Review bi-weekly bank statements and apply wire payments in QuickBooks.
- Notify customers of payment discrepancies and resolve issues promptly.
- Handle Canadian fund deposits and follow up on receipt confirmations.
Invoicing:
- Process weekly CSV files into QuickBooks to generate invoices.
- Verify and apply shipping costs, terms, and classifications to all invoices.
- Upload invoices to portals for key customers, including JCI, Siemens, and Tesla.
JCI Price Portal Management:
- Maintain item and price updates throughout the year.
- Perform annual complete uploads of approximately 1,300-line items.
Bank Reconciliation:
- Perform weekly and monthly bank reconciliations to ensure accurate financial records.
Payables:
- Process weekly payable files in QuickBooks and ensure proper inventory allocation.
- Enter vendor invoices and prepare checks for weekly mailing.
Canadian Shipments:
- Prepare labels and commercial invoices for weekly Canadian shipments.
Accounts Setup:
- Set up customer and vendor accounts in QuickBooks based on dealer agreements and vendor forms.
Inventory:
- Manage monthly inventory counts and ensure accurate documentation for inventory locations.
SMA Month-End Analysis:
- Audit and review SMA invoices to ensure accuracy.
Freight Shipments:
- Assist in arranging and coordinating international freight shipments from Austria.
Qualifications:
- Bachelor’s degree in Accounting, Finance, or a related field.
- Proficiency in QuickBooks or similar accounting software.
- Strong organizational and time-management skills.
- Excellent communication and problem-solving abilities.
- Experience with AR/AP functions and bank reconciliations preferred.
- Ability to handle multiple tasks and prioritize responsibilities efficiently.
