Job Overview
The Volunteer Coordinator has overall responsibility for the Foundation’s volunteer recruitment, training, deployment, and retention efforts across all Foundation programs, including Hospice, Beam Teams and Horizons (transitional housing). The Volunteer Coordinator will also provide administrative support to the CEO
Essential Job Functions and Responsibilities:
General
- Create, implement, and continuously improve upon a comprehensive volunteer recruitment and retention program, recognizing the value of volunteers in the Foundation’s overall development program.
- Retain appropriate volunteer documentation, depending on the program involved.
- Provide volunteer training and orientation that is consistent with industry standards and in compliance with all local, state, and federal laws and Foundation policies relating to the recruitment, training, and retention of volunteers.
- Maintain records of orientation attendance and training content for established retention periods.
- Maintain a thorough, up-to-date volunteer training manual specific to the relevant Foundation program.
- Collaboratively develop and maintain policies specific to the volunteer program.
- Ensure volunteers are aware of and in agreement with their duties and responsibilities, and who to report to if they need assistance and instructions regarding performance of their duties and responsibilities.
- Establish a public relations program to foster positive and productive relationships with existing and prospective volunteers, including possible sources of volunteers in the community (e.g., organizations, clubs, businesses, colleges and universities, churches, etc.).
- Create and edit documents and presentations.
- Establish, update, and maintain files.
- Assist with planning and delivery of internal and external events.
- Support the CEO with respect to administrative functions, as assigned.
Hospice
In collaboration with the Director of Hospice Services, the Volunteer Coordinator is responsible for ensuring that the Foundation’s hospice volunteer program is conducted consistent with applicable regulations and accreditation requirements, ensuring that volunteers are properly used in day-to-day administrative and/or direct patient care roles that meet the needs of the patient and family/caregivers.
- Supervise hospice volunteers.
- Assess and maintain documentation of volunteers’ skills and competencies.
- Maintain documentation of the cost savings achieved through the use of volunteers, including identification of each position occupied by a volunteer, work time spent by volunteers occupying those positions, data-driven estimates of the dollar costs that the Hospice would have incurred if paid employees occupied the positions, etc.
- Ensure volunteers provide day-to-day administrative and/or direct patient care services in an amount that equals in excess of 5% of the total patient care hours of all paid hospice employees and contracted staff, consistent with Medicare requirements. Ensure volunteers prepare documentation sufficient to demonstrate the value of work being done for patients and families.
- Participate in the care planning process, including documenting on the Plan of Care (POC) for all patients receiving volunteer services, and reviewing and documenting on the individualized POC as frequently as the patient’s condition requires but no less frequently than every 15 days.
- Develop the volunteer program in collaboration with the IDG/T and hospice administration.
- Promote hospice goals, services, and philosophy to ensure quality of care.
- Provide an environment which promotes respect and privacy for patients and their property.
- Participate in the Hospice’s QAPI program.
- Follow the Hospice’s infection and control policy.
- Participate in the Hospice’s educational in-service programs as required.
Beam Teams
- Oversee the Foundation’s Beam Team program for the deployment of volunteers to assist nonprofit community partners in South Central Pennsylvania.
Transitional Housing (Horizons)
- Ensure that the Foundation recruits, trains and retains volunteers (individuals and organizations) sufficient to meet the needs of the Foundation’s transitional housing program, as identified by the Director of Transitional Housing.
- In collaboration with the Director of Transitional Housing, ensure that the transitional housing volunteer program is conducted consistent with applicable laws and Foundation policies.
- Promote the transitional housing program goals, services, and philosophy to support quality outcomes.
- Provide an environment that promotes respect and privacy for program participants.
Required Skills and Qualifications:
- Bachelor’s degree.
- At least 5 years’ professional experience, with increasing responsibility.
- Experience in recruitment and management of volunteers preferred.
- Advanced skills in Microsoft Office, including Word, Outlook, Excel, PowerPoint, and Teams.
- Excellent written and oral communication skills.
- Ability to establish and maintain effective working relationships with all segments of the Foundation staff, volunteers, volunteer referral sources, patients and program participants, and the public.
- Ability to work independently, organizing and prioritizing workload.
- Ability to handle busy and sometimes stressful situations in a calm and courteous manner.
- Detail oriented and able to multi-task.
- Demonstrated commitment to a positive work culture, including collaboration, open communications, positive attitude, respect, dependability, good judgment, and professionalism.
- Demonstrated commitment to valuing diversity and contributing to an inclusive work and service environment.
- Valid driver’s license, reliable transportation and at least minimum automobile insurance as required by law. (Position requires travel within South Central Pennsylvania to meet with hospice patients, volunteer groups, etc.)

Pay: $55,000.00 - $62,000.00 per year
