Activities Secretary
Position Type: 12-Month Classified Staff
Reports To: Assistant Activities Director, Activities Director
Job Summary:
Provides administrative support for all school activities, clubs, and events. Oversees social media, digital signage, student recognition, financial processing, and logistics for school-wide activities.
Primary Responsibilities:
Event Planning & Logistics
- Assist in the planning and execution of school-wide events, assemblies, dances, and club activities.
- Work with custodial and maintenance staff to prepare facilities for major events.
- Arrange for necessary security, ticketing, and permits for large-scale student events.
- Collaborate with student leaders and club sponsors to support student-run events.
Financial & Purchasing
- Collaborate with the school bookkeeper to manage budgets for clubs and student organizations.
- Process purchase orders, invoices, and fundraising revenues related to activities and student groups.
- Assist with the ordering and distribution of event materials, club supplies, and awards.
Communication, Publicity & Branding
- Manage and update social media accounts, newsletters, and school website content for all athletics and activities.
- Oversee digital signage displays to promote upcoming events, games, and student achievements.
- Design flyers, posters, and promotional materials for school events and activities.
Student Recognition & Awards
- Organize school-wide awards ceremonies, recognition programs, and appreciation events.
- Maintain and update the digital trophy case with student organization, fine arts, and academic achievements.
- Preserve and display trophies, plaques, and awards related to clubs and student activities.
Other Duties
- Assist office staff with general administrative tasks as needed.
- Perform other duties as assigned by the Activities Director or Assistant Activities Director.
Qualifications & Skills:
- High school diploma or equivalent; additional training or education preferred.
- Experience in administrative work, event planning, or marketing is beneficial.
- Strong organizational and multitasking skills.
- Creativity and strong graphic design and communication skills for promoting student involvement.
- Ability to work collaboratively with students, staff, and community members.
Salary : $16 - $24
