About the Role
The Administrative Services Manager will provide high-level administrative support to our executive team while ensuring smooth office operations. This role combines traditional executive assistant responsibilities with onsite duties, including hosting board members, clients, and other guests. The Administrative Services Manager will have the ability to exercise good judgment in a variety of situations, demonstrate strong written and verbal communication skills, possess solid administrative capabilities, be proactive and resourceful, and maintain a realistic balance among multiple priorities.

Essential Duties & Responsibilities:
- Provide high-level operational and administrative support to executive leadership.
- Manage executive leadership calendars by scheduling calls, travel, appointments, meetings, and coordinating all related arrangements.
- Prepare agendas, presentations, and reports for executive meetings.
- Track and manage deadlines, priorities, and action items for executive leadership.
- Handle confidential correspondence and communications with professionalism.
- Schedule and organize in-person and virtual meetings, including conference room reservations and technology setup.
- Serve as the primary point of contact for onsite visitors, including board members, clients, and other guests.
- Coordinate meals, catering, and logistics for onsite meetings and events.
- Act as a liaison between executives and internal/external stakeholders.
- If certified, provide notary services as needed (preferred but not required).
- Perform other duties as assigned.
Education Requirements:

Minimum: Bachelor's Degree in Business Administration or a related field.
Years of Experience:

Minimum: 5 years of demonstrated experience working with executive-level staff as an Executive Assistant, Office Manager, or similar role.
Specific Skills/Knowledge:
- Strong verbal and written communication skills.
- Anticipates challenges before they arise and implements solutions proactively.
- Ensures accuracy in records, compliance, and operational procedures.
- Exceptional organizational skills and meticulous attention to detail.
- Handles sensitive information with the utmost confidentiality, maintaining a high level of integrity and discretion.
- Excellent time-management skills and the ability to organize and coordinate multiple concurrent projects.
- Ability to react with an appropriate level of urgency to situations and events requiring quick response or turnaround.
- Proficient with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Notary certification preferred but not required.

Compensation
In the spirit of pay transparency, the base salary range for this position is $, not including fringe benefits or potential bonuses. At Liberty, your final base salary will be determined by factors such as geographic location, skills, education, and experience. We are committed to pay equity and also consider the internal equity of our current team members when making final compensation decisions.
