Position Overview:
The Executive Assistant to the CEO (EA) works independently to anticipate and respond to the evolving needs of the CEO and organization. This role oversees all logistics related to the Board of Directors, including meeting coordination, communications, document management, and event planning, and serves as the primary liaison between the CEO, Board members, and internal staff. The EA also handles confidential internal and external communications, oversees high-level administrative functions, and ensures seamless collaboration across departments.
Success in this role requires strong organizational, communication, and problem-solving skills to ensure the CEO and Board are well-informed, well-prepared, and fully supported. The Executive Assistant will also coordinate cross-functional projects to standardize administrative processes across the organization and ensure efficiency.
What you will do:
Office of the CEO
- Manage the CEO’s schedule, including calendar management, travel arrangements, and budget oversight.
- Proactively assess priorities, anticipate the CEO’s needs, and resolve scheduling conflicts swiftly.
- Draft correspondence on behalf of the CEO for events, donor outreach, and organizational communications.
- Collaborate with internal executives and staff to implement standard operating procedures (SOPs), enhance efficiencies, and support the Office of the CEO.
- Handle timely and efficient credit card reconciliations, procurement, and payment requests.
- Track and report on budget expenditures for the CEO’s office.
- Compile and prepare relevant materials for the CEO’s meetings, events, and social engagements.
- Handle CEO’s memberships with select organizations, including renewals and membership tracking.
Board Liaison & Governance Support
- Schedule, coordinate planning, and prepare materials for Board and Committee meetings.
- Serve as the main point of contact for Board members, assisting with inquiries and coordinating logistics.
- Organize and maintain Board and Governance documents, including updating rosters, tracking online votes, and managing demographic data.
- Collaborate with CFO and COO to ensure compliance with organizational bylaws and support board governance processes.
- Develop and strengthen relationships with Board members to instill professional confidence and streamline communications for the CEO and relevant executives.
Cross-Functional Project Management
- Coordinate and lead special projects on behalf of the CEO, working closely with the Executive Team, Power Users (internal support team), departments, and external consultants.
- Identify and implement process improvements to optimize administrative functions and enhance operational efficiency for the Office of the CEO.
Confidentiality & Discretion
- Maintain a high level of discretion in handling sensitive and confidential information.
- Exercise professionalism in managing delicate situations involving Board members, executives, and other stakeholders.
Requirements
What you will have:
- Education: BS/BA Degree or equivalent personal, lived, or professional experience.
- Experience: 5 years of experience supporting executive or C-suite leaders.
- Required: Extensive knowledge of board governance practices, including adherence to bylaws and policy procedures, and note taking.
- Experience coordinating events and meetings at an executive level.
- Demonstrated ability to handle sensitive situations and relationships with diplomacy and tact.
- Exceptional interpersonal and collaboration skills, with the ability to build strong relationships and work effectively both independently and as part of a team.
- Strong written and verbal communication skills, with the ability to draft professional correspondence, meeting notes, and reports on behalf of the CEO.
- Excellent project management and time management skills, with the ability to balance multiple priorities and deadlines.
- Meticulous attention to detail, with strong organizational and administrative abilities.
- Proficiency with Microsoft Office (Word, Excel, Outlook) and the ability to quickly learn new software tools like Slack, Asana, SharePoint, and board management software.
- Ability to navigate and learn various software; specifically, Slack, Asana, SharePoint.

- Must live in Los Angeles County with the ability to engage in a hybrid remote work environment in our shared downtown co-working space or working remotely.

Salary : $90,000 - $105,000
