Our growing ecosystem requires a high-performing Executive Assistant who is sharp, proactive, and motivated to handle critical responsibilities and help "buy back Whitney's time" for the highest-impact activities.
About the Role — Not Your Average EA
This is not just a "calendar and email" role. You will be the operational partner to Whitney Sewell, working directly with him to manage both business and personal tasks with excellence. You will own processes, drive priorities, and ensure Whitney is focused on high-leverage activities that grow the mission.
You must be a self-starter, excellent communicator, highly organized, and hungry to build systems that run smoothly. You will implement Dan Martell’s "Buy Back Your Time" system, helping Whitney offload tasks, manage relationships, and focus on leadership, family, and mission.
Key Responsibilities* Executive and Personal Support (Proactive & Strategic)
- Master Whitney's calendar and inbox, ensuring only high-leverage items require his attention.
- Proactively plan, coordinate, and manage travel, including flights, accommodations, and logistics.
- Personal assistant duties: manage personal errands, family logistics, and bills.
- Serve as a sounding board, anticipating needs and proactively solving problems before they arise.
- Assist with meeting preparation and follow-ups, ensuring Whitney is always ready to execute
- Manage Subscription services (Google Workspace, Hubspot, Web hosting, etc.)
- Manage Invoice payments and payroll for VA’s and positions within the organizations.
*Relationship Management
- Act as gatekeeper and relationship manager — managing, nurturing, and following up with key investors, partners, and friends.
- Handle high-stakes communications and relationship details, including gifting, thank-you’s, and tracking special dates.
- Making sure the CRM (Hubspot) is up to date with current client information.
- Be proactive in seeking key relationships that further our mission.
- Once an investor has expressed interest in Life Bridge, immediately follow up with a phone call to get them scheduled for a conversation with Whitney
- Helping set up appointments on Whitney’s calendar for conversations with investors and donors for Omnah.
*Content Creation Support (AV & File Management)
- Set up and manage audio/video recording equipment when Whitney is filming podcasts, content, and interviews.
- Manage file organization and transfer to the marketing team for post-production.
- Work closely with the marketing team to ensure Whitney's content pipeline flows seamlessly.
- Attend and assist in in-person content creation days, roughly 2x per week.
- Assisting with the podcast: seeking quality guests, managing preinterview requirements, following up with guests before and after the interview
*Process & Systems Ownership — “Buy Back Your Time”
- Implement and manage Dan Martell's "Buy Back Your Time" framework, including task offloading, playbook creation, and ongoing optimization of Whitney’s time.
- Build and document repeatable systems and SOPs for recurring tasks.
- Create AI-powered workflows and automations that reduce manual work and increase efficiency.
- Drive continuous improvement in Whitney's personal and professional operations.
*AI & Tech Integration
- Leverage AI tools (ChatGPT, Notion AI, email AI tools) to draft communications, summarize documents, manage schedules, and systematize tasks.
- Utilize AI for relationship CRM, content notes, and information gathering.

Role Requirements & Expectations
- Must be local to Roanoke, VA or willing to relocate — Able to be in-office (~2x per week) and available for in-person meetings and filming.
- Available for travel with Whitney on occasion (conferences, investor trips, foundation events).
- Minimum 3 years’ experience as an Executive Assistant to a senior executive, founder, or entrepreneur.
- Experience in relationship management and communication on behalf of executives.
- Comfortable managing personal as well as professional tasks.
- Strong organizational, tech, and AI tool skills.
- Familiar with AV setups or willing to learn (training will be provided).
- Familiarity with Dan Martell's "Buy Back Your Time" framework is a plus (or a willingness to master it quickly).
- Flexibility and willingness to adapt and take on new tasks and responsibilities as our businesses grow.
