Overview:
This role will support the US Country Head, COO, by acting as an organizer, problem-solver, and ensure US Country Head/COO’s priorities are met. Will work to support the planning, execution, and management of various commercial and operations contracts, projects and initiatives, such as data management and entry, report and presentation development, department KPI tracking, meeting planning, attendance tracking and taking accurate and comprehensive meeting notes for formal minutes, including follow up activities. Will work cross-functionally in a collaborative and collegiate manner to ensure successful completion of projects and enhance efficiency on programmatic functions.
Requirements (not all inclusive)
* Skills: Proactiveness; project leadership and ownership, adaptability, detail oriented, highly organized, able to interact with all levels of personnel and communication styles, stress tolerance; collaborative.
* Minimum 3 years of work experience directly managing multiple and simultaneous projects and workflows; with a preference in the pharmaceutical industry.
Software:
* Advanced Office 365 skills; emphasis on professional PowerPoint deck development; High level knowledge of Salesforce, other CRMs may be considered.
* General finance, accounting and budgeting comprehension required.
* Able to think through a problem and provide a timely solution approach, both independently and in a group setting.
* Intellectual curiosity: ability and desire to learn and develop within a highly regulated pharmaceutical industry.
Principal Duties (not all inclusive):
* Create and manage presentations and documents to be used by project owners to help reduce project delivery timelines.
* Confirm all documents or presentation material are accurate and compliant with policies, regulations and overall company brand.
* Works collaboratively to ensure all contracts are completed within policy and guidelines.
* Creates Project Charters, maintains solid documentation of plan and project needs.
* Develop, maintain, and update project timelines and schedules while ensuring fluid communication with all stakeholders.
* Identify potential risks to the project timeline or scope and support risk mitigation strategies.
* Manage schedule, calendars and administrative tasks.
* Assist with leading strategic planning processes.
* Develop and execute best practice processes that will streamline current workflows and create transparencies across the organization.
* Develop SOPs as needed.
* Assist with managing program or project costs to maintain budgets for each.
* Ensure that project activities are completed in a timely manner and projects are executed as planned.
* Work within various committees as assigned and support agenda and meeting minutes requirements.
* Apply problem-solving skills to remedy issues within projects

* Able to remain in a stationary position for extended periods of time.
* Able to consistently operate a computer, keyboard, and other office productivity machines.
* Able to observe details at close range (within a few feet of observer).
* Able to lift, push, pull or move items to 25 pounds unassisted.
* Appropriate work attire (business casual) required to represent self and company professionally during planned and unplanned virtual calls or in-person events.
* The ability to concisely communicate and exchange accurate information and ideas so others will understand.
Work Environment:
* Remote home based. The home office must comply with company security & safety requirements including but not limited to set up and document storage.
* Able to work variable or extended hours to meet the needs of a global organization including potential weekends, travel, and accommodating varying time zones.
Travel Requirements:
* Availability and ability to attend meetings and other events as requested.
* Domestically: up to 35%
* Internationally: up to 5%
* Able to legally operate a properly insured motor vehicle
