Job Summary
Perform administrative support and secretarial duties of a complex and confidential nature to relieve supervisors of clerical and administrative responsibilities.
Principal Duties and Responsibilities
- Perform general office duties.
- Answer, screen, and facilitate incoming telephone calls, and respond independently when appropriate.
- Prepare detailed correspondence, reports, and presentations as directed.
- Maintain supervisor's schedule, calendar, and schedules appointments or meetings as directed.
- Record, transcribe, and distribute meeting minutes.
- Facilitate arrangements for meetings, programs, and events.
- Sort, open, and prioritize mail and respond to routine requests.
- Compile and facilitate the approval of documents such as check requests, purchase orders, and expense reports.
Job Specifications
- A high school diploma or equivalent is required.
- A minimum of two to three years of relevant job experience is required.
- The ability to take initiative, multi-task, and meet deadlines is essential.
- Strong verbal and written communication skills are necessary.
- Knowledge of Microsoft Office or comparable computer program with typing ability of 50 wpm is required.
- A professional appearance and demeanor are expected.
- The ability to exercise discretion and deal with information in a confidential and sensitive manner is required.
- Participation in quality assessment performance improvement (QAPI) activities is required.
Working Conditions
A pleasant and comfortable work environment is provided. Routinely works customary hours, although deadlines may require extended working hours.
