TITLE : ADMINISTRATIVE ASSISTANT
GENERAL DESCRIPTION :
The Administrative Assistant is responsible for providing administrative and clerical assistance and support to agency staff. This position is responsible for the processing of incoming and outgoing mail and other material and data processing responsibilities upon request.
QUALIFICATIONS :
Excellent phone and in person communication and interpersonal skills;
Effective problem solving skills and ability to connect individuals with internal and community resources.
Ability to adapt to a changing environment, and a comfort with shifting workloads, and ability to work independently and within and across teams.
Able to demonstrate compassion and care in interacting with individuals seeking services; Sensitivity working with diverse populations and people with disabilities; Ability to communicate well with individuals who may be under distress;
Computer skills including Google Suite (Or Microsoft Office), Adobe Acrobat and database management systems.
RESPONSIBILITIES :
Provide administrative support to the agency leadership, operational and programmatic teams.
Assist staff in performing their roles efficiently by processing agency incoming and outgoing mail daily, forwarding faxes and voicemails in a timely manner, and preparing agency or departmental mailings, as needed.
Provide support in the generation of documents such as correspondence, procedures and reports.
Contribute to smooth agency operation by stocking the office area to meet general administrative needs.
Participate in agency-wide meetings, team meetings and in-service trainings.
Potentially responsible for occasionally answering inbound calls and connecting callers to appropriate services.
Accomplish additional tasks as assigned by immediate supervisor, other supervisory staff or members of the leadership team.
ESSENTIAL FUNCTIONS :
Physical :
Visual, speaking, auditory capacity necessary.
Capacity to communicate verbally with consumers, staff and callers in both English and Spanish.
Capacity to read written material.
Capacity to hear and speak on the telephone.
Capacity for fine manipulation in the frequent use of office equipment such as computer keyboard, copy machines, telephones, etc.
Occasional reaching and grabbing objects with both hands, twisting of hand and wrist, and pushing and pulling of objects.
Occasional capacity to lift up to 20 pounds.
Ability to come to work in inclement weather.
Mental :
Capacity to learn detailed computer software.
Capacity to engage rationally and calmly with varying personalities.
Capacity to work well in a fast paced, rapidly changing environment.
Environmental :
Work is indoor office work.
Must be able to tolerate heat and cold of seasonal changes and indoor temperatures.
SUPERVISION :
The Administrative Assistant reports to the Associate Director of IT & Operations.
