What are the responsibilities and job description for the Senior Facilities Coordinator position at LifeScience Logistics - rebrand?
RESPONSIBILITIES:
- On call 24/7 to respond to all emergency and non-emergency issues at the facility.
- Responsible for creating an annual budget to maximize the most cost effective strategy for
maintaining the assigned facility.
- Provide monthly explanations for budget discrepancies. Create and implement strategies to
correct discrepancies while maintaining the facility, equipment and furnishings.
- Manage and mentor Facility Coordinators and maintenance staff as direct reports.
- Conduct 1 on 1 meetings with Facility Coordinators and Maintenance Technicians.
- Provide guidance and oversight to Facility Coordinators and Maintenance Technicians.
- Develop and implement a weekly schedule for Maintenance Technicians to best achieve desired goals.
- Oversee training and development of Facility Coordinators and Maintenance Technicians.
- Conduct annual performance evaluations of Facility Coordinators and Maintenance Technicians.
- Work alongside IT support to troubleshoot and repair IT infrastructure throughout the facility.
- Provide initial computer workstation configuration and setup.
- Troubleshoot and repair computer workstations, printers and operations equipment to maintain functionality throughout the facility.
- Review and investigate all accident/near miss incidents alongside Operations Managers. Provide recommendations for corrective action.
- Maintain a seat on the Safety Committee.
- Development of facility operations and maintenance policies, procedures, and work instructions.
- Direct performance of work assignments and review work to be conducted with contractor and verify work has been completed as directed.
- Provide vendor escort to work area and oversee vendor while on premises.
- Provide direction to contractor on facility health and safety requirements prior to commencement of work.
- Review maintenance management system to schedule preventive and on-demand work.
- Develop and maintain energy management system to ensure efficient cost effective operations.
- Schedule and assign contracted personnel to complete all maintenance in accordance with established interv
- Evaluate contractor performance and provide recommendations to senior management.
- Provide weekly reports to department heads on facility condition, assessments, project work, and specific goals for the reporting period.
- Maintain on hand inventory to ensure adequate materials are available to meet maintenance goals.
- Develop short and long term facility utilization plans that assure cost efficient facility operations and minimize/eliminate unplanned infrastructure and critical systems downtime.
- Generate work orders for timely completion of maintenance requirements.
- Initiate safety compliance program with contractors and enforce as necessary.
- Manage security, alarm and fire suppression/detection systems, and ensure compliance with all applicable standards and codes.
- Perform light maintenance to include but not limited to minor plumbing, lighting, housekeeping, and HVAC maintenan
- Other duties as assigned.
QUALIFICATIONS AND JOB SPECIFICATIONS:
- Associate degree with three years to five years of facility maintenance experience.
- Working knowledge of OSHA and NFPA standards.
- Demonstrated knowledge of HVAC, electrical distribution including on site generators, various refrigeration systems, and plumbing.
- Experience working in a cGMP environment.
- Impeccable written and verbal communications.
- A high level of customer service acumen.
- Ability to communicate to all levels of staff and Clients in a clear and conscience manner.
- Maintenance experience with proven technical problem solving abilities.
- Ability to communicate with staff and provide reports using Microsoft Office Suite.
- Interest to work in a fast-paced environment.
- Demonstration of the following: Effective time management skills, ability to conduct appropriate research as needed, strong presentation skills, attention to detail and organization, and critical thinking.
TECHNICAL KNOWLEDGE:
- Intermediate to Advanced Microsoft Office skills: Outlook, Excel, PowerPoint
- Must be able to demonstrate skills or hold licensing/certification in the following areas:
o Plumbing, HVAC, Refrigeration systems, Electrical
o IT/Data management systems
o Automated building systems
o OSHA and NFPA standards.
- Ability to maintain and track budget/spending trends
- Excellent verbal and written communication skills
- Experience utilizing web-based telecommunication software
- Experience in managing vendor relationships/partnerships
ADDITIONAL EMPLOYMENT REQUIREMENTS
- Must be able to successfully pass all preliminary employment requirements (i.e., background check and drug screen).
- Must have a valid driver’s license.
PHYSICAL/MENTAL/VISUAL DEMANDS
- Work is light to medium in nature with frequent walking to perform assigned tasks.
- Occasional lifting of 25 - 50 lbs. is required.
WORKING CONDITIONS
- Activities occur both inside and outside.
- Hazardous conditions may exist, such as proximity to moving mechanical Obtain knowledge of all facility Standard Operating Procedures and ensure compliance.

- Equipment: Laptop computer, cell phone, fax machine, copier, and desk phone; at times may be required to utilize a forklift and/or pallet jack
