Position Overview:
We are seeking a professional customer-focused Patient Care Coordinator to be the first point of contact for our patients. The ideal candidate will have excellent communication skills, a warm and welcoming demeanor, and experience working with Athena Electronic Medical Record (EMR). This role is vital to maintaining smooth daily operations and delivering an exceptional patient experience.
Key Responsibilities:
Patient Experience & Customer Service
- Greeting and assisting patients warmly to ensure a positive experience.
- Addressing inquiries and managing all telephone, patient portal, and email communication promptly and courteously to provide concierge-level support.
- Completing patient check-in and check-out, which includes verifying demographics, obtaining insurance, and collecting payments.
- Coordinating patient appointments, including scheduling, rescheduling, and confirmations.
- Serving as first point of contact for communication between patients, family, and our team
Operations and Administrative Support
- Registering patients, updating and maintaining accurate demographic records
- Collecting and processing payments at time of service, both in person and by phone
- Managing and directing billing inquiries
- Assisting the team with medical record management
- Communicating and prioritizing patient requests such as prescription refills and referrals.
- Completing inbox tasks assigned by other team members
- Maintaining a well-kept, organized, and inviting front office and waiting area.
- Assisting in administrative projects and operational tasks as needed.
- Proactively learn and support the implementation of new administrative and patient communication features in our Athena EMR system.
Patient Panel Management
- Running reports of who is due for annual wellness exams or annual exams and appropriately scheduling patients.
- Appointment reminder management
- Maintaining and updating the practice’s patient list by ensuring that demographic information and insurance details are current, and removing patients who are no longer receiving care
- Sending out electronic birthday cards on behalf of the team.
New Patient Enrollment
- Engaging with prospective patients, answering inquiries, and educating them about our concierge practice and its benefits.
Qualifications:
- Previous experience in a medical office or concierge practice preferred.
- Proficiency with Athenahealth EMR is preferred
- Strong interpersonal and customer service skills with a patient-first mindset.
- Collaborative team player
- Ability to multitask in a fast-paced environment while maintaining attention to detail.
- Excellent verbal and written communication skills.
- Professional appearance and demeanor.
- Knowledge of medical terminology and HIPAA compliance.
- Bachelor’s degree required
