This role plays a critical part in supporting our Operations team, ensuring seamless coordination between field employees, subcontractors, and senior leadership. This role reports directly to the Operations Manager and is an integral part of the Operations team, focused on optimizing workflows, ensuring compliance, and increasing operational efficiency. Responsibilities
- Job Backlog Management: Maintain and update job backlogs, providing regular reports to senior leadership
- Cost Analysis: Review job costing reports and provide insights to the Director of Operations
- Accounts Receivable & Collections: Supervise A/R accounts, track outstanding balances, and assist with collections and payment deadlines
- Compliance & Regulatory Standards: Ensure licensing, permits, background checks, installer insurance audits, and EPA regulations are met
- Operations Support: Work with the Operations Support Administrator to maintain Retail Program portals
- Project Oversight: Follow up with Project Managers to track job statuses, outstanding balances, and collections efforts
- Expense & Revenue Reports: Maintain Home Depot receipts, review expenses, and submit weekly reports to accounting
- Financial Reporting: Submit revenue reports, review accounting reports for accuracy, and prepare quarterly lead reports for potential audits
- Task Management & Compliance: Review production tasks and ensure all outstanding activities are completed for regulatory and internal compliance
Qualifications
- Experience: 3-5 years of experience in operations support, finance, or administrative coordination
- Technology Skills: Proficiency in Microsoft Office, CRM systems, and price quoting software
- Problem-Solving Abilities: Strong ability to multi-task, prioritize tasks, and resolve issues effectively
- Education: Bachelor's degree preferred
- Attention to Detail: Ability to accurately enter and manage data in a timely and organized manner
