Key Responsibilities
- Business Development Support
- Collaborate with the business development team to understand client requirements, objectives, and expectations.
- Assist in the preparation of proposals, pitches, and presentations for potential clients.
- Conduct market research and competitor analysis to identify new business opportunities.
- Maintain accurate records of client interactions, contracts, and agreements.
- Ability to utilize critical thinking skills to identify client needs and determine scope of opportunity
- Adding tasks into lead management and project management softwares
- Project Coordination
- Help coordinate project meetings, ensuring all team members and clients are aligned on project objectives, timelines, and deliverables.
- Create and maintain project schedules, tracking progress and identifying potential risks or bottlenecks.
- Assist in resource allocation and ensure that team members have the necessary tools and information to perform their tasks effectively.
- Facilitate effective communication between the project management team, development team, designers, and other project participants.
- Support the project management team in identifying and resolving project-related issues and conflicts.
- Documentation and Reporting
- Prepare project-related documentation, including project plans, status reports, meeting minutes, and change requests.
- Maintain accurate project files and documentation in accordance with company standards and procedures.
- Track project budgets and expenses, ensuring adherence to financial guidelines and providing regular updates to stakeholders.
- Travel Coordination
- Scheduling Shoots: Collaborate with clients and internal teams to schedule shoots, ensuring that all necessary details are confirmed and communicated effectively.
- Booking Travel Arrangements: Arrange flights, accommodations, ground transportation, and any other travel-related needs for the media team.
- Travel Itineraries: Create detailed travel itineraries for the media team, including flight details, accommodation information, and shoot schedules.
- Communication: Serve as the primary point of contact for the media team during travel, providing support and assistance as needed.
- Compliance: Ensure all travel arrangements comply with company policies and procedures.
