Job Title: Administrative Director
Purpose:
The Administrative Director is the operational leader of the school, responsible for ensuring the efficiency and effectiveness of the school’s administrative functions. This role combines the management of day-to-day operations including student enrollment, record-keeping, office management, and communications. The Administrative Director works closely with the Executive Director / Principal to maintain smooth operations and support the school’s mission, vision, and overall success. This role also collaborates with the Director of Development and Admissions on admissions-related processes and initiatives.
Key Duties & Responsibilities:
1. Daily Operations & Office Management
- Oversee the operation of day-to-day administrative processes, including office management, school scheduling, and calendar planning.
- Serve as the primary administrator for the FACTS Student Information System (SIS), maintaining accurate student records across all relevant areas.
- Coordinate and ensure effective school communication, including newsletters, emails, and parent/student notifications.
- Ensure that all facilities, security, and maintenance needs are met for smooth and efficient school operations.
- Maintain inventory and manage the ordering of school supplies.
2. HR & Staff Management
- Oversee staff contracts, ensuring all terms are clear, up-to-date, and compliant with school policies and employment laws.
- Ensure compliance with local, state, and federal employment laws, as well as school policies and procedures, addressing any legal or policy-related concerns that arise.
- Support the Executive Director in managing the staff onboarding process.
- Manage classroom supplies and resources to ensure teachers have everything they need for effective instruction.
- Coordinate teacher absences and manage the scheduling of substitutes to ensure uninterrupted learning.
- Assist staff in resolving any HR-related issues, providing guidance and conflict resolution when needed, and fostering a positive work culture aligned with the school's mission.
3. Financial & Compliance Oversight (excluding fundraising)
- Collaborate with the school board to review and manage the school’s financial policies, including tuition models, scholarship programs, and financial aid policies.
- Oversee school budgeting processes, ensuring alignment with long-term strategic goals and operational needs.
- Ensure compliance with all applicable financial regulations, accreditation requirements, and local, state, and federal laws.
- Supervise and maintain accurate financial records, including tuition payments, using the RenWeb FACTS system.
- Work closely with the Executive Director to ensure proper documentation and reporting for all financial activities.
- Partner with the Development Coordinator on financial issues related to fundraising efforts and financial planning.
- Ensure compliance with state regulations and accreditation standards.
- Manage the Raise Right Program, ensuring efficient operations, tracking gift card purchases, and applying proceeds to applicable accounts.
4. Admissions & Enrollment Management
- Oversee the student admissions process, including managing applications, student records, and enrollment documentation to ensure accuracy and timeliness.
- Collaborate with the Executive Director and the Director of Development and Admissions to develop and implement strategies that support enrollment goals and align with the school’s mission.
- Work closely with the Director of Development and Admissions to coordinate financial aid, scholarship opportunities, and other resources to support families and enhance enrollment.
