Position Overview:
We are seeking a detail-oriented and organized Estimator and Office Administrator to join our mitigation team. This dual-role position will involve managing the creation, submission, and settlement of estimates, as well as performing essential office administrative tasks. The ideal candidate will thrive in a fast-paced environment, have excellent communication skills, and be customer-focused.
Key Responsibilities:
Estimating Duties:
- Create, review, and submit accurate estimates for mitigation projects (e.g., water, fire, and mold restoration) using Xactimate or similar software.
- Communicate and negotiate with insurance adjusters, agents, and customers to settle estimates and ensure project scopes are approved.
- Maintain detailed records of all estimate submissions, approvals, and settlements.
- Collaborate with project managers and mitigation crews to ensure scopes align with job site conditions.
Administrative Duties:
- Follow up on payments from customers and insurance companies to ensure timely collections.
- Assist customers with inquiries, documentation, and billing-related concerns.
- Provide general office support, including answering phones, managing emails, and organizing files.
- Order office supplies, schedule appointments, and ensure smooth daily office operations.
- Coordinate with the field team to schedule jobs and update customers on project progress.
Requirements:
- Previous experience in the restoration or construction industry is preferred.
- Proficiency in Xactimate (required) or similar estimating software.
- Strong communication and negotiation skills, with the ability to professionally engage with customers and insurance representatives.
- Highly organized, detail-oriented, and capable of multitasking effectively.
- Knowledge of basic accounting and collections practices is a plus.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office technology.
- Ability to work independently and as part of a team.
