What are the responsibilities and job description for the Administrative Assistant position at Lighthouse Youth & Family Services?
Lighthouse Youth & Family Services has an immediate need for an experienced & professional Administrative Assistant to provide exceptional guest experience and support the agency as a whole. This position is part-time first shift. Our ideal candidate will possess a passion to enhance the client’s experience, have a professional attitude and demonstrate high-level initiative, sound judgment and decision-making skills. Ability to interact positively with youth and families.
Essential Functions:
- Performs a wide range of office support and administrative activities for Administration in a timely manner and with accuracy. This includes but is not limited to typing, record keeping, filing, photocopying, scanning, faxing and mailing.
- Greets and direct visitors and clients.
- Answers, screens and transfers inbound phone calls including calling Attorney General.
- Coordinates, follow-up and schedule appointments for HR.
- Processes requests for information, data and/or documents some of which may be highly confidential and/or sensitive in nature.
- Maintains electronic and hard copy filing systems.
- Enters and retrieves data including client information from various systems and compile statistical data reports as needed.
- Resolves administrative problems and inquiries in a timely manner and understands when to escalate the issue.
- Maintains office supply inventories and office equipment.
- Processes yearly annual background checks for entire agency.
- Sorts and distributes mail daily.
- Supports Administrative/Office Manager as needed.
- Aids Happy Holidays event with helping volunteers load/unload for the development team
Work Environment: This job operates in a professional office environment. This role may have remote work options depending on the needs of the business. This role routinely uses standard office equipment such as computers, phones, multi-functional printers, and filing cabinets.
Physical Demands: While performing the duties of this job, the employee is regularly required to talk or hear. This position is mostly sedentary but also involves standing, walking; using hands to finger, push, pulling, handling or feeling; and reaching with hands and arms. Must be able to lift up to 30 lbs.
Travel: This position has minimal travel expectations.
Required Education and Experience:
- High School Diploma or equivalent.
- Min of 6 months of front office experience.
- Demonstrated proficiency with computer and basic office equipment.
