Job Purpose

The People Operations (POps) Coordinator will support the daily activities of the People Operations Department, including talent acquisition, volunteer and internship programs, onboarding, and general administrative support. This role also supports the POps team with compliance, benefits, wellness, etc.

Essential Responsibilities

Talent Acquisition and onboarding

  • Helps coordinate interviews and ensures due process is conducted for each hire.
  • Manages pre-employment process and ensures all necessary activities are completed successfully. Gathers all necessary documentation and supports new hire onboarding for assigned and supported requisitions.
  • Collaborates with different teams and supports teammate onboarding.

Compliance and Administrative Support

  • Responsible for employee file administration. In collaboration with Total Rewards Partner, maintains files up to date with all the needed documentation for our Personnel files.
  • Supports our I9 file management - audits our I-9 binders and organizes them. Keeps track of retention and destruction dates. Appropriately discards files that are set up for destruction, following instructions and procedures as set out by POps leadership.
  • In collaboration with Total Rewards Partner, the coordinator will provide support for virtual file project. This includes supporting the digitalization of our personnel files into a digital files system. Duties include, cleaning up personnel files, scanning them and organizing our digital file system.
  • Supports maintenance of SharePoint site. This includes updating the POps SharePoint page with updated information, providing feedback and supporting the look and user friendliness of the page.
  • Monitors and responds to emails coming to the general HR inbox. Ability to handle basic inquiries regarding benefits and payroll.
  • Supports Total Rewards Partner with benefits administration, including benefits reconciliation, new hire benefits enrollment, FMLA and disability insurance enrollments and preparing documents for Form 5500 filing.
  • Other duties :

  • Provides support for teammate engagement events, including setup, breakdown, announcements, and articles.
  • Contributes to the Trust's success by accepting new assignments, helping team members, learning new skills, and striving to improve team and organization results.
  • Performs other duties as needed and assigned.
  • Qualifications

  • Bachelor's degree in human resource management, related field or equivalent professional experience
  • Proficiency in all Microsoft Office Applications.
  • Excellent administrative and organization skills.
