Job Overview:
We are looking for an organized and motivated Automotive Service Dispatcher to join our dynamic team. As a Service Dispatcher, you will play a critical role in ensuring the smooth and efficient operation of our automotive service department. You will be responsible for scheduling service appointments, coordinating with technicians, managing customer inquiries, and ensuring timely completion of services. The ideal candidate will have excellent communication skills, a strong attention to detail, and a passion for delivering exceptional customer service.
Key Responsibilities:
- Schedule and coordinate appointments for customers with the appropriate service technicians.
- Serve as the main point of contact for customer inquiries and provide timely responses regarding service status, estimates, and updates.
- Ensure accurate work orders and service requests are created and shared with technicians.
- Monitor technician availability and adjust schedules as needed to meet customer needs and service deadlines.
- Maintain up-to-date knowledge of current service work, open tickets, and any special requests.
- Communicate effectively with customers to explain service processes and resolve any concerns.
- Track parts and inventory availability, ensuring all necessary items are in stock for scheduled services.
- Manage the workflow to minimize delays, maximize efficiency, and meet customer expectations.
- Handle emergency or urgent service requests promptly, managing customer expectations and technician assignments.
- Follow up with customers after service completion to ensure satisfaction and encourage future business.
Qualifications:
- High school diploma or equivalent; additional automotive or customer service training preferred.
- Proven experience as a dispatcher, service coordinator, or in a similar customer-facing role, preferably in the automotive industry.
- Strong knowledge of automotive service processes and terminology.
- Excellent organizational, multitasking, and time-management skills.
- Exceptional communication skills, both verbal and written.
- Ability to stay calm under pressure and resolve customer issues efficiently.
- Proficiency in using service management software and other relevant tools.
- Ability to work well in a team-oriented environment and collaborate with technicians, managers, and customers.
