You’ll work with, and report directly, to Scot Lindsey, Sr. Vice President – Information Officer, Tech@Lilly Manufacturing and Quality (MQ). Additionally, you will work with and support Joe Fletcher, Chief Financial Officer, MQ. Your role, as a technical assistant, is an opportunity to experience first-hand the ways in which the executives work. Your mix of work will be split, roughly 50/50, between project-based work and executive assistant responsibilities.

The role is focused in MQ where we are moving rapidly to expand the supply of medicine for our patients around the world. With the fast moving pace of activities to scale the business while digitally transforming MQ, project work will involve planning, leading, and organizing efforts as part of the transformation journey. You’ll help others embrace technology by partnering with teams across MQ. You’ll create engaging presentations and provide input on executive documents. Depending on how you want to grow in your career, we’ll add other types of projects and technical work that fit your interests.

The executive assistant’s work is primarily around complex calendaring and managing travel requests and expense reports. This includes proactively engaging with internal and external stakeholders for meetings, challenging and prioritizing meeting topics, and sensing logistical issues before they arise. Beyond partnering with Scot and Joe directly, you also work with the MQ Executive Assistant team contributing to broader MQ initiatives. Because you are a team member of Tech@Lilly, part of your task is to figure out how to bring technology into this role — and benefit MQ through increased automation.

What You’ll Be Doing

Projects and Lead Team Support (50%)

  • You will create informational, engaging, and visually appealing presentations for town halls, Ops dashboards, and all hands meetings.
  • You will lead the way as a champion for simplifying and automating work where possible (e.g., piloting new tech or customizing existing solutions to meet needs).
  • You will be responsible for scheduling lead team meeting topics and keeping time in meetings.
  • You will embrace partnerships across MQ, Human Resources, Enterprise Communications, Finance, and potentially other business units at Lilly.

Administrative Support to the Senior Vice President, Information Officer, Tech@Lilly Manufacturing and Quality (MQ) and Senior Vice President, Chief Financial Officer, MQ. (50%)

  • You will show strong attention to detail and scheduling and can maintain complex calendars. You proactively establish strong working relationships with others at Lilly to maximize schedule coordination.
  • You will be privy to confidential information across the company and across many levels and must uphold the highest standard of integrity and honesty. Confidentiality and trustworthiness are critical traits.
  • Proficient in and potentially responsible for performing additional scheduling duties to support peers across the Tech@Lilly and Finance lead teams and MQ Team. This may also include personally directing local activities and special functions.

Basic Qualifications

  • Bachelor's degree with a minimum of 2 years working experience in a matrix organization post degree or 5 years working experience in a matrix organization.
  • Qualified candidates must be legally authorized to be employed in the United States. Lilly does not anticipate providing sponsorship for employment visa status (e.g., H-1B or TN status) for this employment position.

Additional Preferences

  • Creative skills, such as making presentations and producing videos.
  • Technical knowledge, especially in information technology, data and analytics or artificial intelligence would be a bonus

Additional Information

  • Duration: 24 to 36 months
  • Office presence: aligned with the MQ on-site expectations, this position requires daily on-site presence in the Lilly Corporate Center with up to 4 days per month working remotely, and typical working hours are from 8am to 5pm EST. You need to be onsite in general, roughly matching the schedule of executives at Lilly.
  • Off hours: there will be times you need to provide support outside of normal hours, especially when associated with travel for Andrea or backing up for another executive.
  • Travel percentage: 0-10%, depending on your preferences and interests.

Actual compensation will depend on a candidate’s education, experience, skills, and geographic location. The anticipated wage for this position is

$63,750 - $145,200

Full-time equivalent employees also will be eligible for a company bonus (depending, in part, on company and individual performance).
