We are seeking a detail-oriented and organized HR assistant that will be specialized in onboarding logistics coordination to support the seamless integration of new hires into our North American organization.
Missions :
As the HR assistant specialized in onboarding logistics coordination, you will act as the primary point of contact for new hires, ensuring all logistics and administrative processes are managed effectively to provide an exceptional onboarding experience. This role requires close collaboration with training managers, hiring managers, and other internal departments to coordinate logistics, facilitate training programs, and support the HR department in achieving its goals.
Job Requirements :
Serve as the main liaison for new hires, addressing their questions and concerns and ensuring a positive and professional onboarding experience.
Partner with sales managers to schedule shadow training sessions, including assigning sales representatives and confirming dates.
Coordinate logistics related to training programs, including arranging accommodations, transportation, to match training schedules.
Work with the recruiting & training managers as well as with hiring manager to ensure a smooth arrival and onboarding experience for new hires.
Coordinate with office departments to complete all administrative processes related to the LAUNCH project, including systems such as Paylocity, insurance enrollments, as well as device configuration and provisioning.
Monitor and track onboarding tasks and ensure timely completion.
During training, ensure that the schedule is followed and that proof of training are collected.
Address any logistical issues that arise and implement solutions promptly.
Assist Training manager with the administrative tasks to onboarding reps, and other tasks as assigned, such as training content creation/review/update.
Assist the North America HR team with various tasks as assigned, related to recruitment and onboarding, contributing to the overall efficiency of HR operations.
Requirements
Proven experience in logistics coordination, HR support, or a similar role.
Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
Excellent interpersonal and communication skills.
Ability to collaborate effectively with diverse teams and stakeholders.
Problem-solving skills and a proactive attitude to address challenges.
Proficiency in Microsoft Office Suite and familiarity with HR systems such as Paylocity is preferred.
English and French are required, Spanish is a plus.
Knowledge and practice of horse riding are appreciated.
