About the Role
This full-time, in-office position requires an individual who thrives in fast-paced environments and enjoys wearing multiple hats. The ideal candidate will be detail-oriented, resourceful, and passionate about fostering an inspiring workplace culture, with a high level of exposure to our experienced team of executives.
Responsibilities
Office Management
- Maintain a meticulously organized and functional workspace, ensuring office supplies are stocked and facilities are well-maintained.
- Oversee day-to-day operations, including vendor relationships, office supplies, and safety protocols.
- Act as a culture ambassador, planning and executing engaging events and initiatives that strengthen the team dynamic.
- Act as the primary point of contact for visitors, including investors, founders, and candidates (edited to add “greeting visitors”).
- Serve as a liaison for facilities-related tasks, including maintenance, basic IT, and initial employee onboarding.
Executive Assistance
- Manage complex calendars, appointments, and travel arrangements for senior executives.
- Handle sensitive and confidential information with discretion and professionalism.
- Proactively anticipate questions, needs, and potential reactions, helping executives address barriers and push projects forward.
- Coordinate speaking engagements, board meetings, and other demands on executives’ time, prioritizing based on sensitivity and urgency. This includes agendas, detailed meeting notes, and follow-ups as needed.
Qualifications
- Proven experience in office management, executive assistance, or a similar administrative capacity.
- Exceptional organizational, multitasking, and problem-solving skills.
- Outstanding written & verbal communication and interpersonal abilities.
- Experience in event planning and office design is a plus.
- Ability to work independently in a fast-paced, startup environment.
- Demonstrated commitment to fostering a collaborative, engaging workplace culture.
- High level of discretion and confidentiality in handling sensitive information.
