Title : PSS Coordinator

Exemption Status : Non-Exempt

About the Role

The PSS Coordinator is a non-exempt role responsible for coordinating the contract administration processes for owner contracts, vendor contracts, and associated contracting documents. This includes change orders, insurance certificates, preliminary lien / lien notices, and bonds. The PSS Coordinator works closely with job teams and Construction Contract Specialist to process and execute contracts and change orders. In association with Managing Counsel and / or Construction Contract Specialist, the PSS Coordinator may provide individual and group training on contracting topics for job teams and internal departments. This role requires excellent communication skills, a strong understanding of construction terminology and processes, and the ability to multitask effectively.

Skills & Qualifications

  • High school graduate required, with some college a plus;
  • 4 or more years of prior legal assistant / paralegal experience required; construction and / or contract experience a plus; and / or
  • 4 or more years in construction industry with project administration and / or contract administration experience required
  • Demonstrated excellence in common software programs (Word, Excel, PowerPoint)
  • Excellent written and oral communication skills
  • General knowledge of construction terminology and processes
  • Self-starter with organized and effective work habits
  • Demonstrated problem solving and training skills
  • Capable of exercising discretion and working independently to resolve problems and maintain a productive work environment
  • Ability to multi-task

Primary Duties

  • Process, log, execute and archive owner contracts.
  • Process, log, execute and archive owner change orders.
  • Process, log, execute and archive vendor contracts. Coordinate any negotiation with Managing Counsel or Construction Contract Specialist.
  • Review, log and archive original bonds, surety increases, and consents of surety on bonded vendor contracts.
  • Process, log, execute and archive vendor contract change orders. Coordinate any negotiation with Managing Counsel or Construction Contract Specialist.
  • Coordinate, redirect and / or respond to external requests and communications from subcontractors / vendors.
  • Periodically review vendor contract and change order logs on active jobs and communicate with subcontractors / vendors regarding status.
  • Review certificates of insurance (COIs) and any renewals for non-LSIP jobs and achieve compliance if COI is deficient. Log and archive compliant COIs.
  • Provide administrative coordination for Managing Counsel or Construction Contract Specialist.
  • Review, process, and archive preliminary lien notices / liens and lien releases.
  • Train individuals and groups on PSS guidelines and templates.
  • Assist in updating PSS templates and guidelines
  • Knowledge of proprietary software (FENNEL, ENDIVE)
  • Physical Requirements

  • Must be physically fit enough to function safely on a project site and office setting. This includes the following :
  • Prolonged periods sitting at a desk and working on a computer with repetitive movements.
  • Must be able to use their hands to handle, control, or feel objects, tools, or controls.
  • Must be able to lift up to 25 pounds at times.
  • Must be able to navigate various departments of the organization's physical premises.
  • Good manual dexterity for the use of common office equipment such as computer terminals, calculators, and copiers.
  • Hearing, vision, and speaking within normal ranges are essential for normal conversations, receive ordinary information, and prepare or inspect documents.
  • Ability to communicate orally with customers, vendors, management, and other co-workers.
  • Additional Requirements

  • Current driver’s license, required.
  • Work on-site at a main office or project location, required
  • May be called after hours and on weekends to address delays, emergencies, bad weather, and other issues impacting deliverables and / or job sites
  • May require travel
