Position: A&I Executive Assistant
Department: Advancement & Innovation
Role Overview: The Advancement & Innovation team at Lincoln Center for the Performing Arts is at an exciting moment of growth, momentum, and opportunity. We are searching for an Executive Assistant who will play a critical role in continuing the momentum by providing day-to-day administrative and organizational support to the Co-SVPs of the Advancement & Innovation Department.
A&I is responsible for raising funds to further the mission of Lincoln Center for the Performing Arts. Our department includes the Board of Directors, Individual Giving, Leadership Fellows, Operations & Research, Special Events, Corporate Sponsorships, Foundations and Government Giving, and the Lincoln Center Corporate Fund.
The A&I Executive Assistant will need to have strong organizational and interpersonal skills, ability to manage multiple workstreams, ability to prioritize quickly and clearly in real time, and their self-drive to optimize internal processes, communication and logistics flowing to-and-from the offices of the A&I Co-SVPs.
What you'll get to do here:
Calendaring Meeting Support
- Manage the calendaring and scheduling of internal and external appointments for the A&I Co-SVPs; including rescheduling meetings, facilitating incoming requests, and blocking time for focused work
- Handle meeting logistics including conference room booking, ordering refreshments, and preparing and clearing the room before and after key donor and executive meetings
- Provide meeting support by drafting and proofreading meeting materials, including agendas, speaking notes, meeting minutes, briefing documents and reports, and presentation decks as directed and collaborating with other stakeholders as needed
- Oversee and support travel arrangements for the A&I Co-SVPs, including booking transport, accommodation, restaurants and other tasks related work trips and external meetings
Communication
- Screen communications including the A&I Co-SVP's inboxes and written correspondence
- Draft and send key communications, including donor correspondence, internal memos, and A&I Department announcements on behalf of the A&I Co-SVPs
Administrative and Organization
- Ensure that the A&I Co-SVPs fundraising portfolios and related admin is kept up to date on our CRM Tessitura
- Track and reconcile monthly credit card statements, and complete monthly expense reports
- Build strong working relationships with other A&I and LCPA administrators and coordinators to facilitate smooth communication and processes
- Handle sensitive information with discretion, confidentially and in professional manner
Champion A&I Culture
- Be an advocate for A&I at large and contribute to our enterprising and proactive culture
- Serve as a representative for the A&I Co-SVPs, bringing passion and enthusiasm for our collective work and mission
- Manage internal A&I staff celebrations and team gatherings
- Assist with planning A&I off-site trainings, department socials and the bi-weekly A&I Department meeting
- Coordinate Annual Holiday Card lists and fulfillment between MarComm and A&I
You’ll be a fit if you:
- Have 3 years of experience in a similar role
- Have excellent written and verbal communication skills
- Have excellent knowledge and ability to use Microsoft Office products including Word, Excel, PowerPoint (or other presentation tools such as Canva)
- Are detail-oriented and can successfully multi-task
- Can prioritize different requests and navigate deadlines
- Are able to work successfully with different personality types and working styles
- Have exceptional and diplomatic communication skills, both verbal and written
- Are adept at complex calendar and inbox management
- Bring joy and positive energy to your work
- Possess a Bachelor’s degree or equivalent combination of education and experience
