Title: Payroll Specialist, Non-Union Support Staff
Position Summary: Lincoln-Sudbury Regional High School seeks a 12-month qualified Payroll Specialist for the 2024-2025 school year.
Duties and Responsibilities (Not limited to):
*Responsible for payroll of 200 employees including seasonal employees throughout the year for semi-monthly pay periods.
*Prepares, processes and verifies time entry for hourly, salaried and stipended semi-monthly payroll.
*Calculates all wages, deductions, benefits and any required adjustments.
*Verify the accuracy of all wages, deductions, benefits and withholdings.
*Recording and maintaining payroll information for new hires, terminations, and retirements.
*Responsible for creating user profiles in the employee self service portal for all new hires.
*Prepares reports and coordinates with vendors for 403(b) and flexible spending plans.
*Prepares payroll reports for management and auditing purposes.
*Prepares reports reflecting earnings, taxes, deductions and submissions for all retirement entities, state and federal filings as required by law
*Responsible for processing, maintaining, reporting and reconciling benefits and insurances (i.e. disability, life, health, dental and vision insurance, 403b)
*Ensures compliance with district policies, state and federal regulations regarding tax and payroll laws.
*Responsible for assisting staff and faculty with all matters relating to payroll.
*Researches and resolves questions related to the processing of payroll information such as leave time, banking, taxes, benefits, retroactive pay calculations, and other changes.
*Files payroll via ACH and other payroll related payments as required.
*Provides warrant and voucher information to Treasurer for bank funding, reconciliation and School Committee reporting
*Ensures payroll vendor checks are issued timely and accurately.
*Serves as liaison for the Middlesex County Retirement Board and Massachusetts Teachers’ Retirement Board.
*Submits all retirement pay period contributions and conducts monthly reconciliation within the MCRS and MTRS systems
*Reconciles data and records across multiple software systems including district payroll systems: School ERP Pro, MTRS, MCRS and ASPEN.
*Communicates with the Human Resources Coordinator to ensure the integrity of the payroll data as it relates to new hires, terminations, and pay/benefit changes.
*Informs the Director of Finance and Operations of any issues as they arise.
*Partners with the Assistant Treasurer on all banking transactions to ensure check versus non-check batches are properly recorded and processed
*Researches and prepares creditable service requests and retirement forms.
*Responsible for completing verification of employment requests.
*Responsible for quarterly federal and state 941 filings, quarterly wage reporting, annual HIRD reporting and annual Workers Compensation audit.
*Generates, reviews and submits all annual federal filings W-2, 1099 and ACA Health 1094-1095 forms for employees and vendors
*Configures annual software rollover functions related to Payroll Modules such as updating tax tables, salary schedules and updating hourly rates
*Assists with special projects and other duties assigned by the Director of Finance and Operations.
Qualifications:
*Bachelor’s degree preferred in a business or related field
Experience Preferred:
*Municipal payroll either with a school, city or town with exceptional knowledge of state/local reporting and procedures. Strong computer software skills in multiple platforms including Google Suite, Excel and payroll computing systems. Experience required with a proven record of successful oversight and processing of employee pay, including calculating wages, withholding taxes, mandated reporting, and ensuring compliance with payroll regulations.
*Tyler Tech School ERP Pro, preferred
*Accounts payable functions, beneficial
Skills, Knowledge & Abilities:
*Knowledge of state/federal payroll regulations and compliance requirements
*Knowledge of fund accounting to accurately code payroll expenses and liabilities
*Ability to work and communicate effectively, cooperatively and respectfully with staff and community members
*Ability to work independently, organize work procedures, set goals, and meet deadlines for timely completion
*Ability to work in a team setting to achieve the financial goals of the district and reporting requirements of the finance department
*Ability to analyze needs and propose effective solutions
*Ability to maintain confidentiality
*Must be detail oriented with exceptional organizational, written and verbal skills
*Ability to prove effective research skills for problem solving payroll issues
Technology Requirements:
*Excellent computer skills (various platforms of software navigation, email, search engines, governmental portals)
*Must have advanced knowledge of Google Suite, Excel, financial and payroll software
Salary Range: Business Office Support, $31.45/Hour - $41.66/Hour
Reports to: Director of Finance and Operations
Work Year: 12 Months, Full-Time, 8AM - 4PM
