Position Overview: We are seeking a highly organized, proactive, and professional Executive Assistant to join our team. This key role will support our Managing Principal by managing schedules and facilitating efficient communication both internally and externally. Key Responsibilities:
- Maintain and organize the Principal's calendar, scheduling appointments, meetings, and conference calls, ensuring the Principal is well-prepared for all engagements.
- Manage and prioritize the Principal's email inbox, draft responses as needed, and ensure that important messages are addressed promptly.
- Arrange and coordinate travel and itinerary planning to ensure smooth travel experiences.
- Assist in the preparation, editing, and proofreading of documents, reports, and presentations to ensure clarity and professionalism.
- Act as a liaison between the Principal and clients, handling inquiries and ensuring a high level of service is maintained.
- Prepare agendas, take meeting minutes, and follow up on action items from meetings attended by the Principal.
- Track, reconcile, and process expense reports in a timely manner.
- Support the Principal and executive team in various projects, research, and ad-hoc tasks as needed.
- Handle sensitive and confidential information with the utmost discretion and professionalism.
- Maintain an organized and efficient office environment, including ordering supplies and managing office equipment.
- Arrange for catered staff lunches through catering service providers, ensuring quality and timely service.
Requirements:
- Proven experience as an executive assistant or similar role, preferably in a financial institution.
- Exceptional organizational and time management skills.
- Strong written and verbal communication skills.
- Professionalism and a proactive approach to problem-solving.
