TITLE: Records Clerk
DEPARTMENT: Police Department
STATUS: Regular Full-Time
FLSA CODE: Non-Exempt
PAY: $19.51 to $29.23/hr. (pay range 12), depending on qualifications
NATURE OF THE WORK
Under general supervision of a Police Sergeant, performs a variety of clerical, office, and administrative duties. Position requires adherence to applicable laws and department policies related to the Government Records Access and Management Act. Interacts with the public as the police department's receptionist.
EXAMPLES OF DUTIES
• Ability to maintain a high degree of professionalism, including the ability to work as a team, to lead, and be directed.
• Prepares, redacts, and/or disseminates reports, forms, and other documentation for attorneys, courts, law enforcement agencies, insurance companies, citizens and department employees.
• Ensures GRAMA (Government Records Access and Management Act) compliance.
• Answer phone calls, take messages, assist visitors, receive and direct incoming mail.
• Maintain department files and record systems in compliance with retention and classification schedules.
• Handles financial transactions with the public when accepting fees for services.
• Obtains training provided by the department for career development and certifications.
• Operate office equipment. Performs word processing through software used by the department.
• Gather information needed to initiate criminal and non-criminal case reports or other incidents.
• Performs other duties as assigned.
KNOWLEDGE, ABILITIES, AND SKILLS
- Knowledge, and skill, in using various computer systems, word processing, data entry, and basic spreadsheets.
- Knowledge of basic office practices.
- Knowledge of public safety operations and GRAMA regulations is helpful.
- Ability to communicate effectively verbally, and in writing.
- Ability to interact professionally and effectively with the public, employees, and other entities.
- Ability to type, or word process, at an accurate and acceptable rate to perform job responsibilities.
- Ability to obtain necessary clearance/access in governmental programs. Must obtain Bureau of Criminal Identification (BCI) certification during the probationary period and maintain annual certification.
- Ability to understand and follow department policy, procedures, and instructions.
- Skill in organization.
- Skill in reading, writing (spelling, grammar and punctuation), and basic math.
- Skill in operating standard office equipment.
MINIMUM QUALIFICATIONS
EDUCATION AND EXPERIENCE
- High School Diploma or equivalent.
- Two years of experience performing above or related duties, or an equivalent combination of education and experience.
- Maintain a valid driver's license.
- Experience with Spillman software and law enforcement operations preferred.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
- Work performed in a professional office environment.
- Includes prolonged periods of sitting at a workstation. Some light physical effort such as standing, bending, and ability to lift and carry items up to 30 pounds.
- Viewing computer screen(s) and documents. Listening to audio/video recordings and communicating with employees and the public.
- Must be able to operate a city vehicle if needed.
- Requires ability to work regular scheduled hours.
- Work requires regular exposure to deadlines and some stressful situations, including contact with individuals in emotionally charged situations.
