The Accounting and Office Assistant plays a key role in supporting the financial operations of a property management company. This position focuses on processing accounts payable and receivable, maintaining accurate accounting records, and providing light front desk and lease administration support. The ideal candidate is detail-oriented, dependable, and experienced in bookkeeping and accounting tasks.
Essential Functions:
Accounting Support – 70%
- Scan and attach all invoices/checks in AppFolio and ensure information is assigned to correct general ledger codes.
- Receive and verify invoices for managed properties with Commercial Property Managers.
- Perform daily activities such as receive checks, post receipts, and prepare deposits; review and post payable invoices; review and post tenant billing adjustments; review and post prepayment application to open charges, and update gross sales reports
- File all invoices and maintain vendor information in AppFolio.
- Reviewing accurate information in G/L accounts for VP of Property Management.
- CAM reconciliations support and drafting letters/communications.
- Assist with property management monthly reports.
- Accurate and timely processing, posting, collection, and payment of A/R and A/P.
- Collect and track all vendor/tenants’ certificates of insurance.
- Create, manage, and maintain Done Deals files including; AppFolio commissions entry and commission invoicing.
- Help with various accounting tasks as directed by the VP of Accounting and VP of Property Management.
Office Support – 30%
- Answer and direct phone calls, respond to email inquiries, and greet visitors
- Greet visitors and assist with basic inquiries.
- Input work order requests from tenants in AppFolio.
- Receive, sort, and distribute incoming mail and packages daily
- Ensure outgoing mail is processed and delivered to the appropriate carrier
- Monitor for time-sensitive or finance-related documents and route accordingly

- Ability to function well in a high-paced and at times stressful environment.
- Proficient with Microsoft Office Suite, AppFolio or other industry related software.
- Ability to work without supervision in a small office environment setting.
- Takes initiatives and completes project assignments independently and on time.
Education and Experience:
- High School Diploma or equivalent required.
- Knowledge of the commercial real estate industry is preferred but not required.
- General knowledge/education or experience in basic accounting is preferred.
