Job Description Summary
The Shop Coordinator is responsible to provide operational and administrative support for the management of the fleet repair and maintenance department. This includes work order processing, parts purchasing, and inventory management, truck maintenance and service scheduling and record keeping.
Critical Duties And Responsibilities:
- Manage the repair and maintenance system, accurately recording all repairs, routine maintenance and annual inspection documentation ensuring accurate data is maintained.
- Develop and implement a process to ensure complete and timely entry of work orders recording the necessary information as required by the DOT. Original paper copy of work orders are to be maintained in the company filing system.
- Conduct daily yard check recording containers currently in the yard. Provide yard to check to dispatch by 8:00am each day.
- Manage yard organization to include the following 1) ensuring trucks, trailers, chassis are parked in proper areas, 2) yard remains free of debris and hazards that may damage equipment (loose nuts, bolts, parts lying around, garbage, etc.) 3) Monitoring bulk fluid levels scheduling waste pickup or products deliveries when required.
- Effectively manage the relationships with parts vendors coordinating the purchase of parts and equipment following approval from Safety & Compliance Manager
- Manage the DVIR process recorded in the ELD system preparing work orders for required repairs.
- In coordination with the Fleet Supervisor, develop monthly equipment maintenance and inspection calendar coordinating the scheduling with the dispatch and shop technicians to ensure timely maintenance/inspections in accordance with DOT guidelines and company operating procedures
- Assist with the daily scheduling of repair and maintenance work prioritizing projects for technicians, overseeing completion of repairs, and ordering parts as needed
- Maintain daily repair and maintenance status log that includes all equipment under repair or awaiting repair
- Manage the parts purchase order process including placing orders, preparing purchase orders, and monitoring delivery schedules. Evaluate and leverage pricing discount alternatives when available to assist in managing costs
- Assist with container lining activities as needed
- Develop and maintain a parts inventory system to ensure all required parts are in stock proactively placing orders when supply on hand indicates to prevent delays. Develop appropriate controls to verify the correct parts are delivered
- Assist in the development and implementation of operational procedures documenting work processes within the shop maintenance and repair department
- Work closely with the Safety & Compliance Manager supporting operating budget management activities leveraging cost containment opportunities and initiatives. Assist in monitoring monthly expenses
- Foster strong working relationships and communication practices with co-workers
- Promote a supportive work environment by practicing clear communication, collaboration and teamwork
- Other duties as assigned
- HS Diploma or GED
- At least 3 years’ experience in the trucking and transportation industry with parts purchasing, repair and maintenance,
- Experience with Department of Transportation requirements and regulations including vehicle maintenance and inspection protocols
- Excellent working understanding of parts management including purchasing, vendor relationship management and inventory management
- Effective in dealing with change and ambiguity
- Strong written and verbal communication skills ability to communicate promptly and professionally to internal and external customers
- Excellent prioritization and organizational skills
- Effective problem solver and with strong analytical abilities
- Exceptional customer service capabilities, able to work well with customers and vendors
- Proficient working with software applications including, Excel, Word and Outlook
- Working knowledge of AS400 ACD or other transportation management systems strongly preferred
