As a Deputy Project Manager, you will work closely with the project manager to support the planning, execution, and delivery of projects. Responsibilities:
- Project Coordination: Assist the project manager in coordinating project activities, including project planning, scheduling, and resource allocation. Monitor project progress and ensure tasks are completed on time and within budget
- Stakeholder Communication: Facilitate effective communication among project team members and stakeholders. Schedule and organize project meetings, prepare agendas, and document meeting minutes. Distribute project updates and status reports to keep stakeholders informed
- Risk Management: Identify and assess project risks and develop mitigation strategies in collaboration with the project manager. Monitor and track project risks throughout the project lifecycle and escalate issues as necessary
- Documentation and Reporting: Assist in maintaining project documentation, including project plans, timelines, and deliverables. Prepare regular progress reports and presentations for project stakeholders. Ensure accurate and up-to-date documentation is accessible to the project team
- Quality Assurance: Monitor project deliverables to ensure they meet quality standards and align with project requirements. Conduct quality checks and perform reviews to identify and address any issues or deviations
- Team Collaboration: Foster a collaborative and positive team environment. Coordinate with cross-functional teams (i.e., communication, training, data, IT specialists) to ensure effective collaboration and timely completion of project tasks. Support team members by providing guidance, resources, and problem-solving assistance
- Change Management: Assist in managing project scope changes and assessing their impact on project timelines, resources, and budget. Collaborate with the project manager and stakeholders to identify and implement necessary adjustments
- Continuous Improvement: Contribute to the development and enhancement of project management processes, methodologies, and tools. Identify areas for process improvement and propose innovative solutions
- Bachelor's degree in project management, business administration, or a related field
- Minimum of 3 years of experience in project management or a related role
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
- Excellent communication and interpersonal skills, with the ability to effectively collaborate with cross-functional teams and stakeholders
- Proficiency in project management tools and software (e.g., Microsoft Project)/
- Detail-oriented mindset and a commitment to delivering high-quality work
- Problem-solving and critical-thinking abilities, with a proactive approach to addressing project challenges
- Familiarity with project management methodologies (e.g., Agile) and best practices
- Strong team player with the ability to work collaboratively in a fast-paced environment
- Relevant certifications (e.g., CAPM, PMP)
- Experience in the field of community resilience or emergency management
- Experience working on federal government programs
