Key Responsibilities
- Front Desk Operations:
- Greet and assist visitors, residents, and staff in a courteous and professional manner.
- Answer, screen, and direct phone calls to the appropriate department or personnel.
- Manage visitor check-in and ensure compliance with facility policies.
- Administrative Support:
- Assist with clerical duties, such as filing, data entry, and distributing mail.
- Maintain the reception area, ensuring it is clean and organized.
- Coordinate messages, faxes, and deliveries efficiently.
- Communication & Coordination:
- Serve as the first point of contact for inquiries and direct them to the appropriate staff.
- Support facility leadership and staff with various administrative tasks as needed.
- Assist with scheduling and relaying information between departments.
- Confidentiality & Professionalism:
- Handle sensitive information with discretion and adhere to HIPAA and facility confidentiality policies.
- Maintain a professional appearance and demeanor at all times.
- High school diploma or equivalent required.
- Previous receptionist, administrative, or customer service experience preferred.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and basic office equipment.
- Excellent organizational and multitasking abilities.
- Dependable and punctual, with the ability to work weekends consistently.
- Ability to handle occasional stressful situations with professionalism and patience.
- Ability to sit, stand, and move around the facility as needed.
- Ability to lift or move objects up to 10 pounds occasionally.
