The Financial & Administrative Specialist is a full-time employee who supports fiscal and administrative functions for Literacy Network’s operations. Core functions include processing donor contributions and supporting grant reporting, fundraising events, new hire processing, and benefits enrollment. Immediate Supervisor: Grants Manager
Schedule: 36.5 hours/week; Monday-Friday. Literacy Network offers one scheduled work-from-home (WFH) day per week, as well as an annual WFH bank. The Specialist must be available one or two evenings per year (typically April), and at peak fundraising times and year-end.
Pay: $23-25/hour. Literacy Network offers health, dental, vision, and retirement benefits as part of a comprehensive benefits package.

Responsibilities:
1. Financial processing - 50%
- Process and record checks and credit cards weekly using register and donor database system
- Process monthly gifts
- Collaborate with Development Director and Marketing & Events Manager
- Complete monthly bank statement reconciliation
- Generate thank-you letters to donors on a weekly basis
- Assist with donor database address updates
- Assist with updates to mailing lists
- Complete mailing and copying projects
- Issue invoices and track accounts receivable for fee-for-service programs
2. Grant Reporting Support – 20%
- Assist Grants Manager in tracking expenses by grant
- Assist Grants Manager in submitting grant financial reports
3. Staff onboarding and benefit enrollment - 15%
- Partner with hiring managers to provide and collect onboarding and offboarding information for new hires and current employees
- Distribute benefits information to staff
- Input staff benefits enrollments
- Process payments to benefit providers
- Serve as liaison between staff and benefit providers
4. Fundraising Event Support – 10%
- Assist Marketing & Events Manager as needed with event coordination (particularly in April and September)
- Attend two annual fundraising events
5. Professional Development and Collaboration – 5%
- Participate in trainings and planning meetings with staff and program partners
- Engage in professional development opportunities as applicable
The ideal candidate is collaborative, kind, and detail oriented. They are flexible and well-organized, and can work well in multicultural teams and with diverse constituencies. They are self-motivated, persistent, and remain balanced under pressure. The following skills and attributes are required:
- Experience in bookkeeping, financial processing, or financial tracking; or transferable related experience
- Word, Excel, Google Drive, and database entry skills
- Excellent interpersonal and intercultural communication skills
- Excellent oral and written communication skills
- Excellent organizational skills
- Attention to detail and accuracy
- Ability to work on delegated tasks with minimal supervision and meet deadlines
- Flexibility; scheduled week-to-week tasks will vary based on department needs
- Ability to maintain confidential student, staff, and donor information
- Ability to carry light materials (mailings) and work on feet for short periods
- Experience working with adults from diverse backgrounds
