PRIMARY PURPOSE: The Raw Materials Receiving Coordinator is responsible for overseeing the receipt, inspection, and inventory storage of 200 supply items in a produce-based environment. This role ensures that all incoming goods are of the correct quality, quantity, and meet safety and regulatory standards.
QUALIFICATIONS:
Education / Certification / License:
- High school diploma or equivalent (Required).
- Additional certifications related to food safety (e.g., ServSafe, HACCP) preferred.
Experience:
- 1-2 years experience in a receiving or warehouse environment, preferably in a food production setting.
Special Knowledge / Skills / Abilities:
- Bilingual English & Spanish (Required).
- Strong understanding of warehouse inventory management systems and raw material handling.
- Knowledge of transportation and distribution processes, preferably in the produce industry.
- Knowledge of basic math skills and possess a strong work ethic and reliability.
- Ability to work efficiently in a fast-paced, deadline-driven environment.
- Strong organizational skills with ability to multi-task and prioritize tasks.
- Good problem-solving skills, with ability to quickly address issues, make decisions, and implement solutions.

MAJOR RESPONSIBILITIES AND DUTIES/ESSENTIAL DUTIES:
- Receiving & Inspection:
o Inspect and verify the quantity, quality, and specifications of raw materials received against purchase orders and delivery documentation.
o Confirm the receipt of items by signing physical documentation, handing documentation into accounting and electronically receiving them into our procure to pay software (“Coupa”).
o Update the “Inventory” spreadsheet when new items are received.
o Perform quality control checks on materials, identifying any damaged or non-compliant items.
o Ensure raw materials meet safety and regulatory standards (e.g., USDA, HACCP, FDA) before they are accepted into inventory.
o Reject or escalate discrepancies or non-conformities to the appropriate personnel (e.g., warehouse manager, procurement team).
- Inventory Management:
o Accurately record and track incoming materials in the above-mentioned programs, (Coupa; “Inventory Spreadsheet”).
o Ensure proper storage of raw materials according to their temperature, shelf life, and handling requirements (e.g., refrigerated storage, dry storage).
o Update stock levels in the system and report inventory discrepancies or low stock levels to relevant departments.
- Safety & Compliance:
o Follow all workplace safety procedures and ensure compliance with health and sanitation standards specific to the handling of fresh produce.
o Adhere to guidelines for handling food products, including correct temperature control, segregation of allergens, and maintaining clean and sanitized work areas.
o Participate in routine audits and inspections as needed.
- Communication & Collaboration:
o Communicate effectively with the procurement, and production teams regarding material receipt and potential supply chain issues.
o Provide feedback to the procurement team regarding any issues with raw material deliveries (e.g., damaged goods, discrepancies in order fulfillment).
- Documentation & Reporting:
o Complete receiving in Coupa, delivery notes, and inspection reports for all raw materials. Assist in developing inspection report as needed.
o Maintain accurate records of all incoming shipments and product details for traceability and compliance purposes.
o Assist in managing returns, rejections, or claims for materials that do not meet specifications.
- Continuous Improvement:
o Actively participate in continuous improvement efforts related to the receiving process, inventory accuracy, and material handling.
o Suggest process improvements for optimizing material flow, reducing waste, and enhancing overall efficiency in the receiving area.
- Follow all safety procedures/guidelines and maintain a clean and safe work environment.
- Report employee accidents, safety hazards, equipment issues, and quality issues promptly.
- Must be willing to work flexible hours (including evenings, weekends, and holidays) as needed.
- Performs other tasks as assigned or requested.
NON-ESSENTIAL RESPONSIBILITIES AND DUTIES:
Work with minimum supervision and make sound decisions relative to daily job requirements.
Job Type: Full-time
Pay: $14.00 - $17.00 per hour
Expected hours: 40 – 45 per week
