Little Scholars Education is seeking a highly organized and detail-oriented Daycare Administrative Assistant to support daily operations. This role involves managing administrative tasks, handling parent and staff communications, and ensuring compliance with childcare regulations. The ideal candidate is proactive, customer-service oriented, and passionate about early childhood education.
Key Responsibilities:Administrative Support:
- Maintain and update student and staff records.
- Manage enrollment paperwork, attendance records, and billing.
- Assist in scheduling staff shifts and tracking time-off requests.
- Prepare reports, newsletters, and other communications for parents and staff.
- Order and maintain office and classroom supplies.
Parent & Staff Communication:
- Serve as the first point of contact for parents, staff, and visitors.
- Answer phone calls, emails, and in-person inquiries.
- Distribute important notices, reminders, and policy updates.
- Assist with event coordination and parent meetings.
Compliance & Record Keeping:
- Ensure all required documentation (licensing, immunizations, emergency contacts, etc.) is up to date.
- Support compliance with state childcare regulations and accreditation requirements.
- Maintain confidentiality of student and staff records.
Operations & Facility Support:
- Assist with check-in/check-out procedures for children.
- Monitor facility needs and coordinate minor maintenance requests.
- Support teachers and staff with administrative needs as necessary.
Qualifications & Skills:
- High school diploma or equivalent (Associate’s degree preferred).
- Experience in childcare, administration, or customer service is a plus.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and daycare management software (if applicable).
- Ability to work independently and collaboratively in a fast-paced environment.
