Position Title: Front Office Coordinator and Dental Assistant ***.Looking for Both a Front Office Coordinator and a Dental Assistant

Position: Full time Mon-Thurs 715am-4pm. 30 min lunch break. No Fridays, No weekends.

Starting Pay: $18/hr OR Based on Experience

Employee Status:Non-exempt

Reports To: Dr. Bui

Job Summary:

The Front Office Coordinator represents the practice in all facets of patient services, which may include, but is not limited to; greeting patients, answering the telephone, scheduling appointments, presenting treatment plans, assisting with insurance benefits and communicating with insurance companies, maintaining patient records, coordinating patient flow and cleaning of the office to maintain a beautiful clean work environment for staff and patients.

Qualifications:

To perform this job successfully, an individual must be able to satisfactorily perform each essential duty listed below.

Essential Duties:

  • Greet visitors, patients and parents entering the practice and alerts the appropriate staff of patient arrivals. Facilitate check in process and help patients with iPad check in process. Collect payment day of procedure. Monitor the safety of patients in reception area and answer questions they may have.
  • Answers telephone, routes calls, provides information, and takes messages in accordance with practice procedures.
  • Schedules and adjusts patient appointments to maximize the patient care and reach practice profit target. Manages the daily, weekly, and monthly calendar to meet the practice production and collection goals.
  • Establishes, maintains and keeps patient files and records up to date (i.e. address, phone number, e-mail address, insurance information, etc.). Continually checking Lighthouse web portal and contacting patients due for past recall and treatment appointments.
  • Communicates with parents regarding financial options. Reconciles financial records by receiving and recording patient payments.
  • Uses computer or fax to transmit information or documents when requested.
  • Keeps the front desk and reception areas clean. Organizes magazines, books, video games.Vacuuming and mopping front area at the end of each day. Dusting blinds as necessary. Cleaning the glass windows in reception area daily.
  • Keep the beverage station clean and well stocked
  • Keep the patient bathroom clean and restocked. It will be checked a minimum of two times a day and at the end of the day.
  • Helps Dental Assistant with removal of trash at end of day to designated trash receptacle located in the back of the office
  • Times when the Dental Assistant or Hygienist is behind or requested, help with patient care i.e. taking xrays, entering info in computer, oral hygiene instruction, sterilization needs, restocking
  • Performs necessary duties associated with checking patients in and out. Presenting treatment plans. Record treatment information, enter planned treatment for next appointment.
  • Produces the doctor’s call list and provides to the doctor each day, as necessary.
  • Calls the patients 2 days ahead of time to confirm scheduled appointment.
  • Monitors the schedule regularly, adjusts the schedule as necessary.
  • Keeps staff and doctor informed of scheduling problems, issues or concerns
  • Registers new patients, provides necessary paperwork (welcome letter, HIPAA documents) and ensures all required documents are completed by the parent.
  • Reviews the insurance plans that are used most frequently with parents to understand various nuances of each plan in order to communicate more effectively.
  • Determines insurance eligibility/verification, limitations and payment estimates necessary to facilitate financial arrangements and records accurate notes in patient charts.
  • Assist with account receivables and accurately enters notes in patients charts accordingly.
  • Educates parents, as necessary regarding insurance, their responsibility and basic terminology.
  • Process and submit claims electronically on a daily basis.
  • Monitors and follows up on outstanding insurance claims.
  • Sends information as requested by insurance companies such as; x-rays, narratives, intraoral photos and other documentation for processing the claim when applicable.
  • Provides insurance pre-determination documentation to parents, contacts the parent to make financial arrangements and schedules treatment.
  • Handles all inquiries concerning insurance on a regular basis.
  • Prepares financial arrangements for parent.
  • Coordinates financial arrangements based on practice’s internal financial guidelines.
  • Records parent’s financial discussions/emails.
  • Presents treatment plan using models, diagrams as necessary, and provides parent with related literature.
  • Reviews patient records for incomplete treatment.
  • Identify patients in the schedule who are a financial concern, note payment issues and arrange to speak with parent prior to child’s appointment.
  • Contacts parents who have not kept their financial agreement to collect payment in accordance with the practice’s internal financial guidelines.
  • Prepares and mails statements each month on a regular billing cycle.
  • Solidifies financial agreement with parent, such as payment amount and schedule.
  • Follows through with correspondence regarding collection when unable to contact parent over the telephone.
  • Prepares and sends uncollected accounts to collections, with employer’s approval and follows through as needed.

Knowledge/Skills/Abilities:

  • Knowledge of English composition, grammar, spelling and punctuation
  • Skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, scanners and computer software.
  • Ability to maintain composure and professionalism when exposed to stressful situations.
  • Ability to engender trust from the doctors, co-workers, patients and parents
  • Ability to work cooperatively with management, staff, patients and parents.
  • Ability to prioritize, organize and complete tasks in a timely and independent manner.

Education/Experience:

  • High school diploma or equivalent

  • Exposure to hectic, fast-paced, high anxiety environments.

Job Summary:

The DA assists in the performance of quality, caring, clinical dentistry by aiding the doctor smoothly and unobtrusively during examinations and treatment. The DA performs clinical and technical procedures under the supervision of a licensed dentist as well as prepares the operatory and equipment, gets the patient ready, and maintains awareness of the comfort and safety needs of patients.

Qualifications:

To perform this job successfully, an individual must be able to satisfactorily perform each essential duty as listed below.

Essential Duties:

  • Providing excellent customer service and respect to all patients and family members
  • Treating all members of the team in a friendly, courteous and respectable manner at all times

Clinical:

  • Ask and update medical history, surgical history, medications/dose, any allergies every visit
  • Records treatment information in the patient’s chart, including treatment rendered, the type of treatment planned and the amount of chair time, doctor time and assistant time needed for next appointment.
  • Assists the doctor by passing instruments, aspirating intra-oral fluids, mixing materials and medicaments during examinations or treatment.
  • Able to proficiently describe and demonstrate Oral hygiene Instruction (toothbrushing and flossing instruction) to patient and parents via on typodont model, toy model, patient using toothbrush, floss, and disclosing solution (on patient only)
  • Able to proficiently provide a prophy, fluoride and sealants.
  • Knowledge and use of rubber dam, and isolite
  • Proper knowledge of dental treatment set-up, sequence of handing instruments/materials, properly mixing cements and disposal of sharps
  • Provides customer service support to patients and parents by escorting them to and from the treatment room and prepping them for care by the doctor.
  • For patients undergoing any treatment, assistant is to stay with patient and parent IN ROOM to monitor status and safety of patient and/or nitrous at ALL times.
  • Takes and mounts digital full mouth X-rays
  • Knowledge and proper use of Nomad x-ray, safe handling of sensors, make sure patient is wearing radiation drape at all times during x-ray procedures, make sure no one is in area of scatter radiation
  • Reviews patient’s medical history, progress from the previous visit, if applicable, and the scheduled treatment plan with each patient.
  • Applies non-aerosol and non-caustic topical agents and fluoride.
  • Helps administer nitrous oxide to patients as applicable.
  • Places and removes rubber dams.
  • Removes post-extraction and periodontal dressings.
  • Takes impressions for diagnostic and opposing models.
  • Fill out orders for impressions i.e. space maintainers for Doctor review and signature
  • Pours and trims study models.

Nonclinical:

  • Prepares all treatment rooms including, but not limited to, set-up, decontamination, sterilization of all instruments, cleaning and restocking.
  • Maintains cleanliness of the all rooms including all bathrooms, lab and sterilizing area.
  • Removal of all trash/recyclables at the end of the day to appropriate trash receptacle outside
  • Make sure at the end of the day the floors are swept and reception area vacuumed and mopped, kitchen/bathrooms are cleaned/restocked and reception area is neat (books/magazines stored).
  • Make sure at the end of the day you are set up for tomorrow’s patient and rooms are restocked
  • Changes all chemical solutions, i.e., disinfectant soaks and sprays, sterilents, ultrasonic, presoak and X-ray processing.
  • Ensures lights, units, nitrous equipment and automatic processors are turned on prior to the first patient. And turned OFF at the end of the day.
  • Cleans hand pieces, vacuum traps, and sharp instruments.
  • Monitors incoming and outgoing lab cases.
  • Maintaining a list of needed supplies and ordering if necessary
  • Maintains plaster trap and lab counter areas
  • Wash/dry/hang scrubs once a week and maintains a clean washing machine/dryer area in office
  • Attend promotional events and marketing events (please see calendar for Lakewood Ranch Community Activities calendar on Main St)

Knowledge/Skills/Abilities:

  • Skilled in the use of standard dental office equipment including: Autoclave, model trimmer, X-ray machine - Pano, Panoramic X-ray, X-ray processor, X-ray duplicator, ultrasonic, Oxygen and Nitrous Oxide, Laser, Intra Oral camera, Vacu-press, Paché gun, KCP 2000, Whip-Mix and hand pieces.
  • Knowledge of cross contamination and how to prevent it.
  • Knowledge of OSHA regulations and changes.
  • Abilityto take radiographs, including FMX, Pano and anterior PA’s.
  • Knowledge of English composition, grammar, spelling, and punctuation.
  • Skilled in the use of standard office equipment including: telephones, calculators, copiers, fax, computers, and computer software (MS Excel, Word, Mac Practice Management software).
  • Ability to engender trust from the doctors, co-workers,parents and patients.
  • Ability to work cooperatively with management, staff, parents and patients.
  • Ability to prioritize, organize, and complete tasks in a timely and independent manner.
  • Ability to accept constructive criticism.
  • Ability to understand and follow written and verbal instructions.
  • Ability to collect data, establish facts, draw valid conclusions, and maintain confidentiality.

Education / Experience:

Special Requirements/Certifications/Licenses:

  • Valid X-ray certificate
  • CPR & first aid certificate

Physical and Environmental Requirements:

  • May be required to lift up to 50 lbs. or to roll a 90-pound anesthesia machine and a full 35-gallon drum of expended chemicals on wheels from one area to another.
  • Hand-eye coordination and hand, arm, and finger mobility for detailed work with objects.
  • May be required to physically assist drowsy patients after anesthesia.
  • Active movement throughout the day: sitting, walking, standing, squatting, bending, stooping, reaching, etc. (not a sedentary position).
  • Vision: close vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Hearing: able to satisfactorily communicate with patients, doctor, and other staff members to ensure that verbal communication is clearly understood, particularly during emergency situations.
  • Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or operate equipment.
  • May be required to administer CPR.
  • Occasional exposure to toxic or caustic chemicals and radiation.
  • Exposure to moderate noise levels.
  • Exposure to hectic, fast-paced, high anxiety environments.
